Events - Project Manager
We are currently seeking a highly skilled Events - Project Manager with 7 years professional experience with trade show style events and exhibits to support a Federal Government contract. Must pass a background check for security clearance, be a U.S. citizen, and must be able to work on site in Washington, DC/Alexandria, VA.

Job Duties / Responsibilities:

  • Plans, executes, and oversees all logistical aspects of eventssuch as conferences, meetings, and trade showsfrom conception to completion.
  • Manage budgets, timelines, vendors, and cross-functional teams to meet client goals, ensuring a seamless experience, minimizing risks, and analyzing post-event success.
  • Provide logistics support for a variety of meetings, events, and conferences.
  • Provide direct support to internal and external events to include managing venue requirements, signage, invitations, attendance, and other requirements as needed.
  • Research requirements and context for various events, meetings, and conferences, to ensure the staff is prepared to interact with various audiences and stakeholders.
  • Identify and manage inventory for educational information resources and other outreach materials.
  • Coordinate exhibit design, technology, and management with designated vendors/partners.
  • Provide expert guidance on the most efficient and effective options for building/curating/creating exhibits and activations, supplies, and experiences to suit specific event needs.
  • Ability to carry/maneuver various pieces of heavy equipment (50+lbs) for onsite events and exhibits (e.g., carrying banners/boxes of materials to rolling crates.)
  • Can easily adapt onsite events and exhibits planning and logistics skills to virtual platforms and environments.
  • Have access to equipment such as a laptop, Adobe CS, Microsoft Office Suite, and other project management and design programs as needed.
  • Familiar with federal requirements (e.g. 508 compliance) and will ensure the client is compliant with such regulations.
  • May involve some travel.

Skills & Requirements:

  • Bachelors degree or equivalent from a four-year college.
  • Seven years of professional experience with trade show style events and exhibits.
  • Professional, expert level of experience with project management/planning software.
  • Professional, expert level of experience managing shipping and receiving logistics, including direct to site shipping, shipping to advanced warehouse, overnight shipping, and event to event shipping.
  • Demonstrated expert level of experience working with major trade exposition companies to include managing relationships, purchasing of materials and services, coordinating logistics, and other related activities
  • Professional expert level experience managing large teams.
  • Expert level experience with current best practices for demonstrations and exhibit spaces.
  • Expert level of experience with using Adobe Creative Cloud and Microsoft Office suite of products.
  • Ability to gather requirements from stakeholders and work collaboratively within a team as well as independently on assigned projects.
  • Ability to take creative direction from stakeholders.
  • Demonstrated expert level of experience with asset management systems.
  • Demonstrated expert level of experience working with major trade exposition companies to include managing relationships, purchasing of materials and services, coordinating logistics, and other related activities
  • Demonstrated ability to manage shipping and receiving logistics, including direct to site shipping, shipping to advanced warehouse, overnight shipping, and event to event shipping.
  • Ability to generate detailed after-action reports for each event.
  • Ability to manage multiple large/high profile events simultaneously.
  • Ability to handle quick-turnaround (i.e. within the hour or same day) requests.
  • May involve some travel.
  • This is a full-time, on-site position located at the clients facility in Washington DC/Alexandria, VA.
  • Ability to learn quickly, adapt, organize, and prioritize work in a fast-paced environment.
  • Must be highly organized with a strong attention to detail.
  • Must be a U.S. citizen.
  • Must pass background check for security clearance.
  • Must submit: 3-5 pictures of expo-style booths you have managed; a sample (pdf/link to a dashboard or system/screenshot) report of inventory forecasting; and a sample event checklist.
