We are currently seeking a detail oriented, reliable self-starter with a positive attitude who is extremely computer savvy to join our team. The successful candidate must be able to multi-task, work in a fast-paced environment, handle stress well, and work as a team. You must be extremely organized, a logical thinker and able to come up with quick and accurate solutions. You must have strong writing and math skills, proficient phone communication skills, and be punctual and reliable. Candidate must have a vehicle for daily use and proof of insurance.
The Administrative Assistant will provide support for any administrative duties of the firm as needed. Responsibilities include, but are not limited to:
• Assist CEO and Account Executive(s) in delivering high quality service to our clients.
• Scheduling appointments; managing and monitoring calendars and projects to provide reminders of deadlines.
• Drive to client locations to pick up and/or deliver paperwork; other errands as necessary.
• Assist with calls and client communication.
• Sorting, scanning, electronic filing, and processing of client mail and documents.
• Organizing, scanning, naming and saving documents to firm’s electronic storage system.
• Maintain accounting records, pay bills, manage utilities, make calls, etc. for clients and firm.
• Highly accurate data entry in QuickBooks Online and other software programs.
• Perform other duties or special projects as requested.
Qualifications:
• High school diploma required, college degree preferred. Demonstrate effective language and mathematical skills.
• Advanced user of Microsoft Office products and Adobe Acrobat required.
• Knowledge of QuickBooks preferred.
• Typing skills required with ten-key ability preferred.
• Experience using basic office equipment including multi-function printers, and multi-line phone systems.
• Ability to work efficiently with electronic documents required.
• Thrives in a position with a wide variety of tasks
• Able to accept feedback and implement changes immediately, and remember those requests going forward
• Able and willing to complete tasks at any level - from repetitive & mundane to high level tasks
• Excellent task completion, communication, and organizational skills
• Must have a strong work ethic as well as solid customer service and troubleshooting skills
• Ability to maintain confidentiality of information
• Ability to multi-task and prioritize issues in the best interests of the firm while always maintaining a positive attitude.
• Must have access to personal vehicle for ability to assist with firm and client errands
• The employee must frequently lift and/or move up to 10lbs and occasionally lift and/or move up to 25lbs
This in-office position is full time and located in the Irvine Spectrum area.

Compensation depends on experience with a minimum starting rate of $18.00 per hour. Full time employees enjoy health and dental insurance, company paid life insurance, sick time, PTO, paid company holidays, and year-end performance bonuses.
