Were looking for a highly organized, detail-oriented Administrative Assistant to support our operations, sales, and management teams in keeping our projects, people, and paperwork running smoothly.
Key Responsibilities
- Office Coordination: Provide day-to-day administrative support for operations, sales, HR, and safety teams.
- Document Management: Prepare, edit, and maintain shipping/receiving documents, contracts, job packets, work orders, and other business documents.
- Scheduling Support: Assist with meeting coordination, crew schedules, and calendar management for multiple departments.
- Customer Service: Answer phones, greet visitors, and provide prompt, professional communication with customers, vendors, and partners.
- Data Entry & Reporting: Accurately input job details into company systems; generate reports as needed.
- File & Record Keeping: Maintain organized physical and digital filing systems for quick retrieval and compliance purposes.
- Purchasing & Supplies: Order office supplies and maintain inventory for administrative and field operations needs.
- Support to Management: Assist with special projects, event planning, and presentation preparation.
Qualifications
- 2+ years of administrative or office support experience (construction or heavy equipment industry preferred).
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and comfort with learning new software.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Positive, team-oriented attitude with a commitment to professionalism.
