Position Overview
We are seeking a detail-oriented Retirement Plan Administrator to manage the day-to-day administration and compliance of employer-sponsored retirement plans (401(k), 403(b), defined contribution and defined benefit plans). The role is responsible for plan document maintenance, regulatory compliance (DOL/IRS), testing and reporting, participant services, coordination with recordkeepers and TPAs, and supporting audits and plan design changes to ensure plans operate efficiently and in the best interests of participants.
Key Responsibilities
- Administer all aspects of retirement plans including 401(k), 403(b), defined contribution and defined benefit plan operations and participant services.
- Maintain and update plan documents (SPDs, SMMs), prepare and oversee plan amendments, and ensure document compliance with current regulations.
- Prepare and review Form 5500 filings and related schedules; coordinate with auditors and outside counsel for plan audits and required reporting.
- Perform nondiscrimination testing (ADP/ACP), top-heavy testing, and other compliance testing; run and interpret testing results and recommend corrective actions when necessary.
- Calculate contributions, employer matches, vesting schedules, distributions, rollovers, and loan administration; process transactions accurately and timely.
- Coordinate participant enrollment, ongoing communications, and education efforts; respond to participant inquiries and resolve issues related to deferrals, distributions, loans and rollovers.
- Serve as the primary liaison with third-party administrators (TPAs), recordkeepers and custodians (experience with Fidelity, Vanguard, ADP, Empower preferred); manage data exchanges and reconcile discrepancies.
- Manage payroll/HRIS integrations to ensure accurate deferral and employer contribution feeds; troubleshoot interface issues and coordinate fixes with payroll/HR teams and vendors.
- Monitor investment lineups, prepare investment performance and monitoring reports, and support fiduciary reviews and fee/expense analysis.
- Prepare and process participant tax reporting including Form 1099-R; manage prohibited transaction reviews and coordinate compliance remediation when required.
- Develop and maintain spreadsheets and reporting tools using Microsoft Excel (PivotTables, VLOOKUP, Macros/VBA) to automate processes and produce management and participant reports.
- Support fiduciary governance, provide documentation for committee meetings, and assist with plan design changes and vendor searches to optimize plan outcomes and participant experience.
Qualifications
- Bachelors degree in Finance, Accounting, Human Resources, Business or a related field preferred; equivalent work experience considered.
- 5+ years of retirement plan administration experience with 401(k), 403(b), defined contribution and/or defined benefit plans.
- Demonstrated experience preparing Form 5500, SPDs, SMMs, plan amendments, and ensuring DOL and IRS compliance.
- Hands-on experience with ADP/ACP nondiscrimination testing, top-heavy testing, contribution and match calculations, vesting, loan administration, distributions and rollovers.
- Proven experience working with recordkeeper platforms (Fidelity, Vanguard, ADP, Empower) and coordinating with TPAs and payroll/HRIS systems.
- Strong Microsoft Excel skills including PivotTables, VLOOKUP and experience building Macros/VBA to streamline processes and reporting.
- Experience with plan audits, fee and expense analysis, investment monitoring and Form 1099-R handling.
- Knowledge of prohibited transaction rules and experience coordinating compliance remediation.
- Professional certifications (ASPPA, NIPA, QKA, QPA) or progress toward certification are highly desirable.
- Excellent communication skills, strong attention to detail, ability to manage multiple priorities and work with cross-functional teams.
