Job Summary:
We are seeking a highly organized and detail-oriented Dental Office Manager / Insurance Coordinator to oversee the daily operations of our dental practice. This individual will be responsible for managing administrative functions, coordinating insurance processes, and ensuring smooth office workflow to provide excellent patient experiences. The ideal candidate will have strong leadership skills, experience with dental insurance billing, and the ability to create a positive and efficient work environment.
Key Responsibilities:
- Oversee daily operations of the dental office, including scheduling, patient relations, billing, and staff coordination.
- Supervise and support front office staff to maintain a professional, efficient, and welcoming environment.
- Manage patient scheduling to optimize provider productivity and minimize downtime.
- Verify patient insurance eligibility and coverage, obtain pre-authorizations, and process claims accurately.
- Follow up on unpaid or denied insurance claims, resubmit as needed, and communicate effectively with insurance companies and patients.
- Maintain accurate patient records, financial ledgers, and office documentation.
- Ensure compliance with HIPAA, OSHA, and other dental practice regulations.
- Monitor office budgets, expenses, and collections to support financial goals.
- Develop and implement office policies and procedures to improve efficiency.
- Assist with hiring, training, and performance reviews of staff.
- Foster a positive patient experience by addressing concerns and ensuring high-quality service.
Qualifications:
- Previous experience as a Dental Office Manager, Insurance Coordinator, or similar role in a dental/medical office required.
- Strong knowledge of dental insurance billing, CDT codes, and claims submission processes.
- Proficiency in dental practice management software (e.g., Dentrix, Eaglesoft, Open Dental).
- Excellent organizational, leadership, and communication skills.
- Ability to multitask, problem-solve, and adapt in a fast-paced environment.
- Strong attention to detail and commitment to accuracy.
- Knowledge of HIPAA, OSHA, and regulatory compliance standards.
Preferred Skills:
- Experience in staff management and team leadership.
- Familiarity with dental terminology and treatment planning.
- Background in patient financial arrangements and collections.
