The Role
The Program Coordinator plays a pivotal role in supporting participants throughout their enrollment and career development journeys. This position ensures accurate assessment, application review, and data management, while also providing personalized coaching and guidance. The role involves participating in program orientations, developing career action plans, monitoring participant progress, and collaborating with internal teams and external partners. Success is measured by the ability to meet enrollment and cohort targets, support participant retention, and foster positive outcomes in career placement. A strong commitment to equity, inclusion, and excellent customer service is essential. This role is full-time, limited term, and anticipated to end on 03/31/2026.
Scope
Application & Assessment

Review and evaluate program applications for candidate suitability.

Coordinate and participate in interviews using established criteria to determine participant qualifications.

Enter and maintain accurate participant records and assessment data in Salesforce or similar systems.
Program Orientation & Coaching
-
Participate in orientations to introduce participants to program expectations, resources, and support services.

Provide ongoing coaching and feedback to guide candidates through enrollment and career development.
Participant Journey Management
-
Track and monitor participant progress through career action plans and program milestones.

Meet regularly with participants during their course and job search phases.

Refer participants to external services for barriers beyond program scope.
Support & Engagement
-
Maintain positive connections among participants, staff, and cohorts.

Process participant resource dollars and support access to necessary resources.

Inform participants about their progress and required actions to advance.
Administrative & Data Management

Document participants encounters and barriers in Salesforce.

Manage schedules to ensure participants stay on track with program and job search timelines.

Collaborate with partner agencies and other program staff to ensure effective communication with participants and across agencies
Performance Monitoring

Track participant outcomes and support progress toward sustainable wage careers.

Monitor and encourage the application of behavioral skills in classroom and workplace settings.
Qualifications
-
1–3 years of experience in a similar role.

Experience working with diverse populations and a demonstrated commitment to equity and inclusion.

Proven ability to help individuals achieve career or educational goals.

Strong attention to detail and accuracy in data entry and record-keeping.

Proficiency in Microsoft Office and ability to learn Salesforce or similar CRM systems.

Excellent interpersonal and communication skills for building rapport with participants and stakeholders.

Strong organizational and time management skills to manage multiple tasks and priorities.

Ability to analyze participant needs and develop personalized action plans.

Competence in documenting and tracking participant progress using CRM systems.

Strong problem-solving skills to address participant barriers and critical incidents.

Ability to work independently and collaboratively within a team and with external partners.

Flexibility and adaptability to meet changing organizational and participant needs.
