Accounting Associate

Full-Time | Philadelphia, PA | New Car Dealership

About the Role

We are a growing new car dealership in Philadelphia, PA, seeking a detail-oriented and experienced Accounting Associate to join our accounting team. This is a critical role within our dealership operations, requiring a candidate who understands the fast-paced, compliance-driven environment of automotive retail accounting. The ideal candidate brings hands-on dealership accounting experience and a strong commitment to accuracy in every aspect of their work.

Key Responsibilities

  • Perform mass postings to accounting schedules, ensuring all entries are accurate, timely, and properly reconciled.
  • Process and post vehicle payoffs, verifying all figures against lender statements and internal records.
  • Assist with weekly and monthly payroll processing, including data entry, verification, and coordination with management.
  • Reconcile dealership accounts including floor plan, vehicle schedules, accounts payable, and accounts receivable.
  • Maintain organized and accurate financial records in compliance with dealership policies and applicable regulations.
  • Assist the Controller or Office Manager with month-end and year-end closing procedures.
  • Research and resolve accounting discrepancies or variances in a timely manner.
  • Communicate effectively with sales, finance, and service departments to obtain or clarify financial information.
  • Generate and distribute standard financial reports as requested by management.
  • Processing vehicle extended warranty cancellations.
  • Assisting with title work when needed.
  • Cleaning and maintaining balanced schedules.
  • Perform other accounting and administrative duties as assigned.

Required Qualifications

  • Minimum 3–5 years of accounting experience within a new car dealership environment — this is a firm requirement.
  • Demonstrated experience with schedule posting, vehicle payoffs, and dealership-specific accounting processes.
  • Strong attention to detail with a high degree of accuracy in data entry and financial record-keeping.
  • Solid understanding of automotive retail accounting principles and dealership office operations.
  • Proficiency in Microsoft Office Suite, particularly Excel.
  • Ability to manage multiple tasks and meet deadlines in a high-volume environment.
  • Strong organizational and communication skills.
  • High school diploma or equivalent required; Associate's or Bachelor's degree in Accounting or related field preferred.
  • Notary Public certification preferred.

Preferred Qualifications

  • Experience using DealerTrack, CDK Global (formerly ADP), or a comparable dealership management system (DMS).
  • Familiarity with payroll processing within a dealership structure, including commission-based pay.
  • Experience supporting or working alongside a dealership Controller or CFO.
  • Knowledge of floor plan accounting and manufacturer statement reconciliation.
