Job DescriptionDescriptionThe Treatment Coordinator serves as the primary liaison between patients and the clinical team, ensuring a seamless experience from diagnosis through treatment completion. This role is responsible for presenting treatment plans, educating patients on recommended care, coordinating scheduling, discussing financial arrangements, and supporting patients throughout their treatment journey. The ideal candidate is highly organized, compassionate, and skilled at building trust while helping patients understand the value of their dental care.
Key Responsibilities

  • Build strong relationships with patients and provide exceptional customer service.
  • Clearly explain treatment recommendations, procedures, and next steps in a patient-friendly manner.
  • Address patient questions and concerns regarding treatment plans.
  • Support patients in making informed decisions about their oral health care.
  • Maintain patient confidentiality and comply with HIPAA regulations.
  • Review and present treatment plans prescribed by the dentist.
  • Explain treatment sequencing, timelines, and anticipated outcomes.
  • Educate patients on the benefits of recommended treatment and the risks of delaying care.
  • Track and follow up on unscheduled treatment to increase case acceptance.
  • Maintain accurate records of treatment discussions and patient decisions.
  • Verify insurance benefits and estimate patient financial responsibility.
  • Explain insurance coverage, limitations, and out-of-pocket expenses.
  • Present payment options and financing solutions.
  • Collect deposits and payments according to office policies.
  • Coordinate with insurance companies to resolve benefit or claim questions when necessary.
  • Schedule treatment appointments efficiently based on provider availability and treatment needs.
  • Coordinate appointments that require multiple visits or specialists.
  • Manage treatment follow-up communications and patient recalls.
  • Ensure patient records and documentation are complete and accurate.
  • Assist with front office responsibilities as needed.
  • Work closely with dentists, hygienists, assistants, and administrative staff to ensure continuity of care.
  • Participate in team meetings and contribute to practice goals.
  • Support practice initiatives related to patient satisfaction, production, and retention.


Skills, Knowledge and Expertise

  • High school diploma or equivalent required
  • 2 years of dental office experience required
  • Dental office and Treatment Experience required
  • Experience presenting treatment plans and discussing financial arrangements preferred
  • Knowledge of dental terminology, procedures, and insurance benefits
  • Strong communication and interpersonal skills
  • Excellent organizational and multitasking abilities
  • Proficiency with dental practice management software
  • Ability to maintain professionalism and confidentiality
  • Strong sales and case acceptance skills
  • Ability to explain complex information in a clear and compassionate manner
  • Detail-oriented with excellent follow-through
  • Positive attitude and team-oriented mindset
  • Strong problem-solving and conflict-resolution abilities
  • Ability to sit, stand, and walk for extended periods
  • Ability to use a computer, phone, and standard office equipment
