Summary/Objective:
The E123 Enrollment Operations Manager leads the Enrollment Administration team and manages the E123 platform. This role ensures that enrollment and billing activities are accurate and meet company standards. The manager oversees daily operations, handles system data files, and manages the relationship with the E123 vendor. The position directs the team to ensure high accountability and steady improvement in enrollment tasks.
This position is remote but may require occasional travel to the corporate office for team collaboration or cross-departmental meetings.
Key Responsibilities:

Team Leadership and Oversight

Supervise the Enrollment Administration team, which currently has three employees.

Assign and check daily work to ensure enrollment and billing tasks are done on time.

Coach team members to improve their knowledge of systems and processes.

Set clear expectations and provide regular feedback to the team.

System and Vendor Management

Oversee the daily operations of the E123 system to ensure it stays up and running.

Manage the business relationship with E123, including support tickets and system updates.

Manage data files and system settings for enrollments, billing, and payments.

Coordinate with IT and partners to test and launch system updates

Billing and Financial Coordination
-
Ensure billing in E123 is accurate, including payment posting and price adjustments.

Work with the Accounting team to match billing data between E123 and financial systems.

Find and fix differences between enrollment and payment records.

Support audits to confirm financial accuracy.

Monitor and resolve discrepancies between enrollment, billing, and payment records.

Support audits and reporting to confirm financial accuracy and compliance.

Process and Data Management

Maintain accurate enrollment and billing data in compliance with company and regulatory standards.

Oversee eligibility file transmission and validation for employers, brokers, and carriers.
-
Identify and implement process improvements to enhance efficiency, accuracy, and scalability.

Audit system workflows and outputs to ensure alignment with operational requirements.

Collaboration and Cmpliance

Partner with teams like Billing, Commissions, and IT to solve data issues.

Act as the main contact for enrollment or billing questions.
-
Follow all SOPs and data security protocols.

Keep documentation for enrollment and billing processes up to date.

Skills Required:

Proficiency in Google Suite and Salesforce preferred.

Adaptability to changing priorities, new product launches, and system enhancements.
Education/Experience:
-
5+ years of experience with the Enrollment 123 (E123) system, including configuration, maintenance, and troubleshooting (required).

5+ years of experience in enrollment operations, TPA functions, or related insurance industry experience.

Proven experience managing eligibility files, system workflows, and data reporting.

Experience with vendor integrations and operationalizing workflows within a TPA or insurance setting.
Technical Knowledge:

Knowledge of automating processes and workflows within E123 or similar platforms (required).

Proficiency in Google Workspace (Docs, Sheets, Slides, Drive) for documentation and collaboration (Preferred).

Familiarity with vendor integrations and operationalizing workflows in enrollment systems (preferred).

Understanding of data security requirements and compliance standards, especially within the healthcare or enrollment industry (preferred).
