We are looking for a detail-oriented Administrative Assistant to join our team in West Lawn, Pennsylvania. This is a Contract to permanent opportunity ideal for someone who excels in organizational tasks and thrives in a busy office environment. The successful candidate will play a vital role in supporting the Service Department, ensuring smooth operations and effective communication across various teams.


Responsibilities:

• Oversee and maintain detailed service records, including the creation of work orders, site set-up, and the generation of scheduled tasks for field personnel.

• Answer inbound service and inspection calls, efficiently assigning them to the appropriate team members.

• Coordinate procurement of materials and equipment necessary for service or inspection activities.

• Delegate inspection and service projects to subcontractors as required to meet operational needs.

• Assist management with personnel scheduling, ensuring adequate staffing for both inspectors and trainees.

• Track and manage licensing and certifications for team members to ensure ongoing compliance.

• Address and resolve operational issues or required corrections as identified by company leadership.

• Manage inbound customer service requests and support clients with service needs for the branch or region.

• Maintain and update a shared calendar system daily, ensuring schedules are accurate and up to date for all relevant team members.

• Arrange and communicate scheduling for inspections and service work, ensuring clear coordination with customers and technical staff.

• Proven experience in administrative roles, preferably in a service-oriented environment.
• Proficiency in handling inbound calls and providing excellent customer service.
• Strong organizational skills with expertise in data entry and file management systems.
• Familiarity with managing work orders and scheduling tasks efficiently.
• Ability to manage calendars and coordinate appointments effectively.
• Experience in order management and maintaining accurate records.
• Excellent communication and interpersonal skills.
• Competence in using office software and tools to handle administrative tasks.
