We are seeking a highly organized, patient-focused, and sales-minded Patient Coordinator to serve as the first point of contact for our cosmetic plastic surgery practice. This role is essential in creating an exceptional patient experience while driving consultation bookings, treatment conversions, and smooth daily front office operations.

The ideal candidate is warm, polished, confident on the phone, highly knowledgeable in cosmetic procedures, and capable of independently running the front office from start to finish.

Key Responsibilities

  • Answer all incoming phone calls promptly, professionally, and warmly
  • Respond to patient inquiries via phone, email, text, and CRM messaging
  • Educate prospective and existing patients on cosmetic surgical and non-surgical procedures
  • Confidently answer common patient questions regarding:
    • procedures
    • recovery
    • pricing starting points
    • consultation process
    • financing options
    • scheduling timelines
  • Book consultations, treatments, and follow-up appointments accurately
  • Collect consultation fees, treatment deposits, and procedure payments
  • Send payment links, financing resources, and pre-visit paperwork
  • Proactively follow up on all incoming leads in the CRM to maximize conversion
  • Re-engage inactive leads and nurture undecided patients through consistent communication
  • Confirm appointments and reduce no-shows through organized follow-up systems
  • Maintain accurate patient records, notes, and communication logs
  • Coordinate schedules for surgeon, injector, and aesthetic services
  • Ensure all front desk operations run smoothly throughout the day
  • Manage patient check-in/check-out and maintain a luxury concierge-level experience
  • Support consultation-to-surgery conversion through excellent communication and trust-building
  • Fully oversee and independently run the front office when needed

Qualifications

  • Minimum 2+ years of patient coordination, medical front desk, or cosmetic surgery sales experience
  • Strong knowledge of cosmetic plastic surgery procedures, injectables, lasers, and skincare treatments
  • Excellent phone etiquette and high-level customer service skills
  • Strong sales and consultation conversion mindset
  • Experience using CRM systems, EMR, scheduling software, and payment platforms
  • Comfortable discussing pricing, deposits, financing, and booking logistics
  • Strong multitasking and organizational skills in a fast-paced surgical practice
  • Ability to manage multiple communication channels simultaneously
  • Professional appearance and polished communication style
  • Must be dependable, proactive, and able to take ownership of the front office
