Dental assisting was included in the title because our preferred candidate would be an experienced dental assistant who wants to move into a leadership and patient-facing coordination role. We see these candidates as those that understand treatment better than traditional front desk applicants, can discuss dentistry with confidence, and fit your practice philosophy particularly well. In many ways, the ideal candidate for your office is probably “half treatment coordinator, half relationship manager” rather than a traditional insurance or front-desk specialist.

Process would be:
1) Phone and video chat interview
2) In person interview
3) Work interview at 20 per hour, typically 3 days maximum.
4) Onboard or decline.
5) Begin at starting rate of 25 per hour to 40 per hour. Part time or Full time TBD on availability as well as fit.

We are seeking a Patient Care & Financial Coordinator who enjoys building relationships, helping people navigate healthcare decisions, and creating a positive patient experience from start to finish.


This is a hybrid role that combines treatment coordination, patient communication, scheduling support, and financial coordination.

Position Summary


The Patient Care & Financial Coordinator serves as a bridge between patients, doctors, and the administrative team.


This individual helps patients understand recommended treatment, coordinates scheduling and follow-up care, discusses financial arrangements, and ensures patients feel informed and supported throughout their dental journey.


The ideal candidate is organized, compassionate, proactive, and comfortable discussing both treatment and finances.

Responsibilities


Patient Care Coordination

  • Follow up with patients regarding diagnosed treatment

  • Assist patients with non-clinical treatment questions

  • Help patients understand treatment sequencing and next steps

  • Coordinate larger or multi-visit treatment plans

  • Maintain communication with patients throughout treatment

  • Assist with specialist referrals and case coordination

  • Support patient retention and continuity of care


Financial Coordination

  • Review treatment estimates with patients

  • Explain insurance estimates and anticipated patient responsibility

  • Discuss payment options and financing arrangements

  • Collect deposits and treatment-related payments

  • Coordinate financial arrangements prior to treatment

  • Follow up on outstanding patient balances when appropriate

  • Work closely with the financial team to ensure accurate communication


Scheduling & Administrative Support

  • Assist in scheduling treatment appointments

  • Help optimize the schedule and fill openings when appropriate

  • Coordinate treatment timing between providers

  • Support patient communication regarding schedule changes

  • Maintain accurate patient records and documentation


Patient Experience

  • Help patients feel comfortable and informed

  • Resolve concerns before they become larger issues

  • Communicate with empathy and professionalism

  • Serve as a trusted point of contact for patients throughout treatment

Qualifications


Preferred:

  • Experience in a dental office

  • Experience as a treatment coordinator, financial coordinator, dental assistant, or front office team member

  • Familiarity with dental insurance and treatment planning

  • Strong communication and interpersonal skills

  • Ability to discuss finances comfortably and professionally

  • Strong organizational skills and attention to detail

  • Ability to multitask while maintaining a high level of patient service
