About the role

As a Senior Personal Assistant, you will serve as a trusted partner on a team that plays a crucial part in supporting the executive office’s operations.

Job Description

  • Manage the daily calendar of the executive, optimizing time management and prioritizing tasks accordingly
  • Coordinate and schedule meetings, appointments, and conference calls, ensuring all necessary arrangements are in place
  • Manage complex travel arrangements, including international trips, visas, accommodations, and itinerary planning, with the ability to adapt plans on the fly due to changing circumstances
  • Manage various projects, coordinating with other departments, and ensuring follow-up on key initiatives
  • Basic understanding of budgets, expense reports, and financial documentation, in order to manage and track dept.'s expenses.
  • Accompany the executive on business trips
  • Prepare meeting materials, agendas, and presentations, and assist with follow-up actions and communications as needed
  • Plan, organize and execute PR activities and events
  • Maintain confidentiality and discretion in handling sensitive information and documents

Requirements

  • Bachelor's degree in Business Administration or related field preferred
  • Minimum of 6 years of experience as a Senior Executive Assistant or similar role
  • Fluency in English
  • Background in a company with international presence
  • Experience working in a fast-paced, high-pressure setting with the ability to handle multiple priorities simultaneously
  • Ability to remain calm under pressure and manage unforeseen challenges effectively, such as last-minute schedule changes or urgent issues that require immediate attention
  • Exceptional organizational skills and strong attention to detail with a focus on accuracy and thoroughness in all tasks
  • Strong interpersonal skills with the ability to build and maintain relationships across all levels of the organization and with external stakeholders
  • Ability to maintain confidentiality and handle sensitive information
  • Availability to travel
