As our Front Office Coordinator, you are the director of first impressions and the gatekeeper of our schedule velocity. You will balance a warm, patient-first presence with structured administrative discipline.
- High-Velocity Intake: Manage a busy multi-line phone system, greeting inbound callers with a focus on value building and appointment conversion (no "quick pricing" handoffs).
- Insurance Navigation: Execute thorough verification of insurance benefits prior to patient arrival. You must clearly understand the difference between non-covered services and non-payable limitations (waiting periods, missing tooth clauses) to provide patients with transparent, upfront estimations.
- Over-the-Counter (OTC) Collections: Present treatment plans confidently, secure required patient signatures, and collect estimated co-pays at the time of service to help the office maintain our target daily collection goals.
- Schedule Optimization: Proactively manage the daily schedule template, eliminating nonproductive gaps, coordinating recalls, and ensuring smooth patient flow between the doctor and hygiene columns.
What We Are Looking For (Requirements)
- Dental Office Experience: Minimum 1–2 years of experience working at a dental front desk or handling medical/dental billing.
- Insurance Fluency: Strong working knowledge of dental coding, insurance verification, and how to interpret complex Explanations of Benefits (EOBs).
- Communication Metrics: Excellent verbal skills. You should know how to guide a phone conversation, handle price inquiries by establishing clinical value, and perform proactive "welcome calls" to incoming patients.
- Tech-Savvy: Comfortable navigating modern Practice Management Software and open to utilizing custom back-office applications for lead tracking.
- The Pace Fit: Ability to remain calm, structured, and execution-focused during peak call and check-out windows.
