TMB has an exciting opportunity for a Senior Executive Assistant to provide support to a Navy Flag Officer. The Senior Executive Assistant provides high-level administrative, organizational, and operational support to a U.S. Navy Flag Officer within a dynamic front office environment. This role requires exceptional judgment, attention to detail, and the ability to manage time-sensitive tasks in a fast-paced setting. The Senior Executive Assistant serves as the primary coordinator for scheduling, communications, workflow management, and executive engagements, ensuring the Flag Officer is fully prepared for daily responsibilities and strategic priorities.

Responsibilities

Executive Support & Coordination:
• Manage the Flag Officer’s daily schedule, coordinating internal and external meetings, briefings, and events.
• Maintain situational awareness of all activities affecting priorities, engagements, and decisions.
• Prepare and organize briefing materials, read-aheads, talking points, and background documents.
• Track and manage action items, taskers, deadlines, and deliverables.

Front Office Operations:
• Serve as the central point of contact for all inquiries directed to the Flag Officer.
• Coordinate with Chiefs of Staff, Executive Assistants, PEOs, and external stakeholders.
• Ensure compliance with Navy protocols, etiquette, and correspondence standards.

Communication & Correspondence:
• Draft, edit, and format official correspondence, memos, emails, and decision documents.
• Manage classified and unclassified communications per DoD information security requirements.
• Handle sensitive personnel, operational, and program information with discretion.

Travel & Event Management:
• Coordinate domestic and international travel, itineraries, logistics, and lodging.
• Prepare travel books, schedules, and post-travel documentation.
• Support VIP visits, senior-leader engagements, and major events.

Administrative & Logistical Support:
• Oversee calendar deconfliction, meeting prioritization, and long-range planning.
• Manage document control, records, and official file maintenance.
• Coordinate access, visitor requests, and conference room reservations.

Qualifications

  • Bachelor’s degree: equivalent experience considered.
  • Must be a United States citizen.
  • 7–10 years of executive administrative experience, including 3+ years supporting senior military or government executives.
  • Active Secret clearance.
  • Strong understanding of Navy staff processes and military protocols.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite, DoD travel systems, and task management tools.
  • Ability to manage multiple priorities in a high-tempo environment.
  • Ability to be able to travel reasonable distances (up to ½ mile one way) to meet with customers or other company personnel in the execution of job functions.
  • Ability to be able to lift and carry up to 25 pounds in a backpack or messenger bag in order to carry a laptop, notebooks, papers, binders and other tools and equipment required in the execution of job functions.
