The Role


TRADEMARK is seeking a Creative Operations Lead to drive the creative execution and operational delivery of new business proposals, RFP responses, and pitch materials.


This role is the operational backbone of the bidding process, working closely with the Creative Director, VP of Growth, executive leadership, producers, and designers to ensure proposal workstreams are structured, resourced, and delivered on time.


You will establish project plans for each opportunity, coordinate creative resources, and drive timelines across all proposal deliverables. Acting as the central orchestrator of the creative process, you will ensure the right people are engaged, workstreams stay aligned, and creative output meets the highest standards.


This role requires a rare combination of project management rigor and design fluency. You understand how creative teams work, what designers need to succeed, and how to guide visual work with credibility and clarity.


This role begins as a contract engagement with the intention of evolving into a full-time position as the partnership and business needs grow.


What You’ll Do


Lead Creative Operations for RFPs and Proposals

  • Serve as the operational lead across all new business proposals and RFP responses
  • Partner with the Creative Director, VP of Growth, and producers to establish project plans for each opportunity
  • Drive timelines, milestones, and deliverables across creative workstreams
  • Maintain visibility into all active bids and ensure deadlines are met without compromising creative quality
  • Act as the central coordinator between Business Development, Creative, and Production teams


Build Structure Around the Creative Process

  • Establish and manage proposal infrastructure, including Slack channels, Google Drive folders, and Coda workspaces
  • Create clear systems for organizing assets, references, timelines, and deliverables
  • Provide structure and clarity that allows creative teams to work efficiently and without friction
  • Maintain documentation and continuity across proposal phases


Coordinate Creative Resources

  • Coordinate internal designers and external freelance creative partners
  • Ensure creatives receive clear briefs, direction, and contextual information
  • Identify resource gaps early and help secure appropriate creative support
  • Remove blockers and maintain forward momentum across workstreams


Drive Delivery and Maintain Quality

  • Track and drive the delivery of creative assets, including pitch decks, mood boards, visual concepts, and supporting materials
  • Review creative output to ensure alignment with proposal goals and TRADEMARK’s standards
  • Support quality control across creative deliverables to ensure accuracy, polish, and consistency
  • Help refine and strengthen visual storytelling across proposal materials


Contribute as a Design-Fluent Partner

  • Provide hands-on design support when needed, particularly for presentation design and proposal layouts
  • Support refinement and production of pitch decks and visual assets
  • Ensure visual consistency and polish across all deliverables
  • Act as a design-fluent partner who can effectively guide and support creative teams


What You Bring

  • 7+ years of experience in design operations, creative project management, or design leadership roles
  • Agency, experiential, or creative studio background strongly preferred
  • Proven experience supporting RFPs, proposals, or new business pitches
  • Strong project management skills with the ability to manage multiple concurrent workstreams
  • Hands-on design experience and strong visual sensibility
  • Deep understanding of creative workflows and design processes
  • Skilled in Adobe Creative Suite; familiarity with 3D workflows or motion tools is a plus
  • Exceptional organizational skills and attention to detail
  • Ability to communicate effectively with designers, creative directors, and business stakeholders
  • Comfort operating in fast-paced, deadline-driven environments

  • Strengthen the visual quality and storytelling of proposal decks
  • Help TRADEMARK present compelling, visually exceptional proposals that win new business


Compensation

This role is structured as a contract-to-hire opportunity, beginning as a project-based contract engagement paid through payroll.


The anticipated salary range for the full-time role is $140,000–$190,000 annually, depending on experience, portfolio, and scope of work.


Hourly compensation during the contract phase will be set based on experience and aligned with the full-time salary range.
