Basic Function: Under direct supervision of the Director of Operations, performs clerical functions, provides appropriate information and direction in conjunction with operating the switchboard. Courteously greets telephone callers and visitors and facilitates the flow of incoming and outgoing communication, types and/or organizes reports and correspondence. Provides clerical/administrative support to the ECSS program and to other departments on an as needed basis.

Principal Duties/Responsibilities:
- Greets visitors, maintains an awareness of visitor and/or caller’s needs. Provides answers to routine inquiries and other information as appropriate and as assigned.
- Operates switchboard, courteously screens all calls in order to transfer calls to appropriate persons.
- Types and proofreads reports, letters and routine correspondence as required.
- Sorts and routes incoming mailings and organization of folders and files.
- Proofreads and types of correspondence for the ECSS program; other duties may include preparing Excel worksheets.
- Maintains division listings (center directory), phone lists, room schedules, sign-in sheets, and travel log.
- Processes billing and invoices.
- Maintains a neat, clean business attire and appearance.
- Maintain confidentiality of all information processed.
- Maintains courteous professional and effective working relationships with employees at all levels, clients, vendors and representatives of external organizations.
*Performs other clerical tasks or special projects as assigned.

Requirements:
- Position requires a high school diploma, or a GED
- Two years of college, or other business/ secretarial training or equivalent combination of education and experience preferred.
- Working knowledge of Microsoft Office applications, good verbal communication skills, proper use of grammar and sentence structure is also required.
- Must type accurately 50-55-wpm.
- Ability to work with a wide range of personalities in a courteous, effective and efficient manner.
- Understand and follow office safety-security practices.
- Ability to work with minimum supervision.
Mental/Physical Demands:
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Have the ability to deal with problems involving several concrete variables in standardized situations. Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to clients, and other employees of the organization. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to sit. The employee is occasionally required to stand; walk; use hands to finger, handle, or feel; and reach with hands and arms. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
Environmental Conditions:
The noise level in the work environment is usually moderate; work is performed in either an office or classroom environment.
