Job Description
The Field Operations Scheduler & Project Coordinator is responsible for scheduling and coordinating the work orders, projects, estimates, and invoicing for field personnel. Utilizing work management software, this role will ensure the seamless execution of tasks while maintaining efficiency and compliance with industry standards and regulatory requirements. The position requires strong organizational skills and the ability to manage multiple priorities effectively. Collaboration with various departments to optimize operations will be a key aspect of the job.

Job Qualifications
The successful candidates will be required to speak, read, and write English. Candidates should have excellent verbal and written communication skills with the ability to type 50 WPM, have at least two years of scheduling/dispatch customer service experience, excellent phone etiquette, a positive courteous attitude, good organizational skills, and a strong work ethic. Must also demonstrate the ability to have excellent attention to detail with accuracy, time management, and planning skills, and be able to multitask. You must also show your ability to prioritize your workload. Candidates must be punctual and have reliable transportation. Candidates will work closely with field consultants/technicians, management, business development, invoicing and estimating to make sure jobs are dispatched daily solving client problems, and critical thinking skills to deliver excellent service.
Proven experience in operations management or similar roles. Strong analytical and problem-solving skills. Excellent communication and interpersonal abilities. Proficiency in scheduling software, logistics tools, and Microsoft Office Suite. Ability to work under pressure and manage multiple tasks simultaneously. Knowledge of regulatory compliance in transportation and logistics is a plus.
- Answer phone calls
- Schedule up to 50 jobs a week for consultants
- Call clients, team, and all departments
- Schedule field consultants and technicians daily to meet with clients, insureds, etc
- Prepare work authorizations, get client work authorization signatures
- Send quotes/estimates to leads and clients
- To provide administrative support to ensure efficient operation of the office
- Provide support to all managers, employees, and clients through a variety of tasks related to organization and communication
- Responsible for confidential and time-sensitive material
- Ability to effectively communicate telephonically and prepare business correspondences via Email or mail
- Professional answering of inbound calls contributing to an excellent client experience
- Ensuring that all Dispatch and Administrative Assistant duties are completed accurately and delivered with high quality in a timely manner
- Providing customer service, assisting with all aspects of the companies day to day operations
- Making outbound calls following our soft collections guidelines
- Assisting in processing invoices, W-9, waivers and releases, Vendor packets, and certificate requests on an as-needed basis
- Provide consistent notation of any and all communication with vendors or clients in our client database
- Receive mail and packages daily for Dallas / Fort Worth Operations
- Make Daily Deposits for accounting and finance
- Must be coachable and adapt to the MSE Environmental Foundations of the Brand

Education/Experience
- Two or more years of scheduling/dispatch and phone customer service experience
- High School diploma (Required)
- Possess skills to need to operate basic office equipment (PC, copier, printer, scanner, conference equipment, mobile devices, office phone, etc.)
- Works well independently or within a team with the ability to take direction well and drive to succeed.
Other Requirements
- Must have a valid US Drivers License
- Must have valid Auto Insurance
- Must have use of a personal vehicle
- Must be able to lift 25 lbs, type regularly, and ability to sit for extended period of time
- Must live in the Dallas / Fort Worth area to work from MSE Environmental Office
- Must have working rights in US.
Work Schedule
- M-F 8 am 5 pm and/or job completion
- Additional after-hours/weekend work may be required and performed on a rotating basis as needed.
Work Environment
Job duties are primarily performed in an office environment.
