Job DescriptionThe Executive Assistant supports the CEO and Executive Office by delivering highly professional, efficient, and forward-thinking administrative support that advances the company’s Mission of bringing excitement and enjoyment to an inclusive environment and supports the Vision of being an entertainment company in constant evolution. This role embodies the company values through exceptional communication, organization, and execution. The Executive Assistant functions as a strategic administrative partner, leveraging modern technology, including advanced PowerPoint and Excel capabilities, AI-enabled tools for meeting documentation and communication, and digital workflow systems to enhance the effectiveness, clarity, and reach of executive communications. This position ensures the Executive Office operates seamlessly, consistently reflects professionalism, and facilitates smooth communication and alignment across all departments.
What you will be doing
Executive Support & Office Coordination
- Works closely and proactively with the CEO to ensure awareness of upcoming commitments, deadlines, and priorities.
- Maintains the Executive Office appointment calendar and coordinates all related logistics.
- Coordinates and supports executive committee members and department heads on cross-departmental initiatives and special projects.
- Prepares, processes, and manages all correspondence for the Executive Office including email, mail, phone, and written communications.
- Screens and directs telephone calls professionally, ensuring appropriate prioritization and follow-up.
- Manages guest inquiries and provides elevated customer service while directing guests to appropriate departments.
- Organizes and maintains all Executive Office administrative files in a timely and highly confidential manner.
- Coordinates and facilitates special events as requested by the CEO.
Meetings, Documentation & Communication
- Arranges and sets up meetings, ensuring seamless preparation of materials, presentations, and agendas.
- Takes structured, accurate meeting minutes and utilizes AI-enabled tools to create clear summaries, follow-up actions, and communication briefs for leadership and employees.
- Supports downward communication by transforming executive updates into digestible communication formats (slides, summaries, talking points, memos, etc.).
- Develops and maintains standardized templates for executive presentations, departmental updates, and internal communications that reinforce brand consistency and clarity.
- Assists ownership group with travel arrangements, meeting preparations, itineraries, and meal planning as needed.
Technology, Reporting, and Productivity Tools
- Builds high-quality PowerPoint presentations that convey strategic initiatives, operational updates, and performance insights.
- Creates, maintains, and analyzes spreadsheets using advanced Excel functions (pivot tables, lookups, charts, formulas).
- Actively leverages AI, automation, and digital collaboration tools and document automation platforms to streamline workflows, increase efficiency, and support the Executive Office.
- Develops and maintains systems for task tracking, follow-up, and deadline management to ensure timely execution across executives and departments.
- Identifies opportunities to improve processes and introduces modern administrative solutions to support innovation and continuous improvement.

- Maintains open and transparent communications with the executive committee and department leadership.
- Prioritizes conflicting needs and responds quickly and proactively to shifting priorities.
- Completes tasks efficiently with follow-through to successful completion under tight deadlines.
- Performs all other duties as assigned.
The ideal candidate for this position
- High School Diploma required; associate or bachelor’s Degree preferred.
- Minimum 5 years’ administrative experience supporting senior or C-level executives.
- Bilingual in English and Spanish required.
- Exceptional organizational skills, with the ability to manage multiple complex priorities with accuracy and attention to detail.
- Demonstrates expertise in Microsoft Office Suite, including advanced PowerPoint and Excel.
- Proven ability to adopt and use AI-enabled administrative tools for documentation, communication, and workflow management.
- Excellent written and verbal communication skills with the ability to draft professional correspondence, summaries, and presentations.
- Strong interpersonal skills; able to build effective working relationships with internal and external stakeholders.
- Demonstrated discretion, judgment, and ability to handle confidential information.
- Highly resourceful team-player, yet capable of working independently with minimal supervision.
- Ability to work flexible hours to meet executive needs.
- Ability to work flexible hours, including extended hours when necessary to support executive needs.
- Must apply and be able to obtain the appropriate state occupational gaming license, which includes lifetime FBI criminal background check.
- Must be able to pass drug testing as per company's Drug Free Workplace Policy and applicable background checks.
