- Communication: Answering and triaging phone calls, taking messages, and communicating with clients, vendors, and stakeholders.
- File Management: Organizing and maintaining files, both physical and electronic, ensuring easy access and retrieval of documents.
- Scheduling: Scheduling appointments for Sr. Executives, such as meetings, and travel arrangements for clients.
- Data Entry: Entering data accurately into databases and spreadsheets.
- Office Support: Handling incoming and outgoing mail, ordering office supplies and housekeeping supplies, and assisting with photocopying and mass emails to clients and families.
- Basic Bookkeeping: May assist with tasks like invoicing and tracking expenses for programs and specific departments.
- Reporting: Preparing data reports and presentations for Sr. Executive, sometimes with assistance from other team members as noted by Senior Executives.
- Customer Service: Providing a positive and professional experience for visitors and clients.
- Other Duties: May be asked to perform other tasks as needed, depending on the specific requirements of the role.
Qualifications:

Education:
Associate Degree in Business Administration, Human Services or related field.

Experience:
Must have senior level and or C-Suite 1 level experience and be have experience working in a high paced environment.

Skills:
Strong communication, organizational, and interpersonal skills are essential. Must be an excellent note taker and be able to type 55-70 WPM.

Computer Skills:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software is often required.

Additional Skills:
Familiarity with office equipment (copiers, printers, etc.) and basic bookkeeping skills is essential.

Experience with payroll and accounting is a plus.
