We are seeking an Administrative Assistant to support Guide Star Operations by performing a wide range of ongoing and ad hoc administrative tasks. This role is essential in ensuring smooth day-to-day operations, maintaining organized workflows, and facilitating communication across departments.

Responsibilities

  • Work with Sales, Project Managers, Engineers, and other team members to provide support as needed.
  • Receive and enter incoming work from various sources (email, QuickBase, SharePoint, customer databases, etc.) into designated software accurately and within established timeframes.
  • Track and return electronic paperwork to customers from various sources accurately and within established timeframes. Escalate when needed.
  • Coordinate with customers to conduct renewals of all Guide Star products and services with customers on-time and on an ongoing basis.
  • Develop and maintain Scope of Work, Change Orders, Work Orders, and communication documents for internal and external customers.
  • Work as a team player to accomplish the tasks assigned, this includes working well with others. Interaction, including but not limited to peers, managers, advocates, customers, etc., will take place daily.
  • Assist in maintaining standardized documentation on SharePoint and QuickBase.
  • Ad hoc Microsoft Excel work, scanning, filing, shipping, and other miscellaneous office duties as directed.
  • Create and promote the company image through exercising sound and ethical business practices as related to employees, the public and customers. This includes ensuring that the service and quality provided to customers is satisfactory.
  • Maintain confidentiality on all data and information related to company, customers, and sensitive internal reports.
  • Must support the goals and initiatives of both the department and company.
  • Other duties as assigned by management.

Qualifications

  • Associates or bachelor’s degree in Business Administration or relevant field preferred.
  • One year experience in an Administrative Assistant or Data Entry position preferred.
  • Experience with Microsoft Office, CRMs, and other web-based applications.
  • Ability to communicate effectively, prepare reports, assist employees, vendors, and customers.
  • Strong interpersonal and communication skills.
  • High attention to detail and ability to follow through on multiple priorities.
  • Ability to handle sudden priority shifts and be able to switch tasks easily without gaps in productivity and with an understanding attitude.
  • Willingness to learn; adapts and accepts increased responsibility.
  • Highly responsible, dependable, and self-motivated.
  • Highly resourceful team-player with the ability to take direction and be extremely effective independently.

Shiftis full-time Monday – Friday between the hours of 8:00 am - 5:00 pm CST. Must be flexible and willing and able to work outside normal business hours as necessary.

  • This is an in-office position working from our corporate office in Iron Mountain, MI.
