Our Billings, Montana office is currently seeking an experienced Medical Records Specialist.
Job Overview:
The Medical Records Specialist will play a vital role in supporting the Litigation Support Team by reviewing, organizing, and processing medical documentation related to the legal and claims cases. This position is responsible for ensuring timely retrieval and secure handling of medical records maintaining strict confidentiality and compliance with HIPAA regulations.
Responsibilities and Duties:
- Prepare and deliver formal requests for records and client HIPAA forms to custodians via fax, mail, or email.
- Conduct research via internet, telephone, and other reference materials to identify custodian of records for litigation purposes. Monitor, organize and input data into database.
- Conduct follow-up calls with custodians to ensure requested records are collected in an acceptable time frame.
- Process paper and electronic medical records received via fax, email, mail, etc.
- Scan, upload, and save medical records and images to Case Management system.
- Verify all information received on patients.
- Communicate effectively with medical providers to collect and verify all required member specific data.
- Act as a point of contact for clients and work closely with partners, legal and support staff to resolve any client intake issues and ensure that the database records are accurate and complete.
- Review medical records and provide detailed reporting meeting the requirements outlined by partners.
- Handle inbound and outbound client calls.
- Handle correspondence via text, email and fax.
- Complete and prepare claim forms.
- Gather information for plaintiff fact sheets.
- Other Duties as Assigned.

Requirements:
- You must be at least 18 years of age or older
- Have excellent verbal and written communication skills
- Have superior interpersonal and customer service skills
- Have comprehensive technical skills
- Skilled in data entry
- Have high attention to detail
- Have the ability to operate effectively in a fast-paced environment with evolving requirements and priorities
- Maintain regulatory requirements, including all state, federal, and local privacy laws
- Prior experience handling medical records is preferred
