Job Description

We are seeking a detail-oriented and highly organized HR & Accounting Assistant to support both our Human Resources and Accounting departments. This role plays a key part in assisting with payroll processing tasks, benefits administration queries, financial reconciliation, and employee record management. This is an excellent opportunity for a professional who enjoys working with both people and numbers in a fast-paced, growing organization.

Key Responsibilities

Human Resources Support

  • Assist with bi-weekly payroll processing tasks
  • Audit timecards and PTO balances
  • Assist with reconciling payroll journal entries
  • Assist with payroll tax reporting
  • Assist with processing payroll-related invoices
  • Assist with onboarding and offboarding processes
  • Help maintain accurate employee records
  • Assist with benefits administration related tasks and 401(k) reconciliation
  • Support workers’ compensation documentation and processing
  • Help maintain vehicle registration and license renewal tracking for company fleet
  • Help maintain fleet insurance documentation and policy updates
  • Track vehicle assignments and status changes
  • Maintain fleet compliance calendar and renewal reminders
  • Assist with vehicle insurance certificate requests

Accounting Support

  • Support expense reimbursement tracking
  • Assist with audit preparation
  • Assist with reconciling monthly benefit payments and maintaining data accuracy
  • Process employee credit card expenses and reporting monthly
  • Process freight billing
  • Process AR miscellaneous reconciliation
  • Assist with AP tasks as needed

Qualifications

  • 2–4 years of experience in payroll, accounting, or HR administration
  • Associate or Bachelor’s degree preferred
  • Experience with payroll systems (Paylocity experience a plus)
  • Strong Microsoft Suite skills
  • High attention to detail
  • Ability to handle confidential information with discretion
  • Strong communication and organizational skills
