Overview

Pine Haven Boys Center is a private, non-profit, non-sectarian residential and educational facility serving boys ages 6–14 who have experienced trauma, neglect, and behavioral or emotional challenges. Set on 100+ acres in Allenstown, NH—just 10 minutes south of Concord and 15 minutes north of Manchester—our intensive therapeutic and academic programs help students grow academically, emotionally, and socially.

Pine Haven Boys Center is seeking a highly organized and detail-driven Financial Operations Specialist to support and manage core financial functions within our Business Operations Department. This full-time, in-person position is critical to maintaining the financial health, compliance, and operational efficiency of the organization. The successful candidate will oversee billing to state agencies, Medicaid, and local school administrative units (SAUs); manage accounts payable and receivable; process payroll; prepare accurate profit and loss statements, balance sheets, and monthly financial reports; and ensure that financial records are audit-ready. The role requires exceptional integrity, strong attention to detail, and a proactive approach to resolving discrepancies promptly.

Key Responsibilities

Core Financial Duties

  • Manage daily accounting operations, including accounts receivable (AR) and accounts payable (AP)
  • Prepare and process accurate billing to state agencies, Medicaid, and SAUs
  • Monitor and follow up on outstanding invoices to ensure timely collections
  • Conduct monthly bank reconciliations and ensure financial data accuracy
  • Prepare, analyze, and distribute monthly financial statements to the Executive Director, profit and loss statements, and balance sheets
  • Perform financial forecasting and contribute to long-term financial planning
  • Assist in preparing, updating, and monitoring annual budgets
  • Review and process check deposits promptly and accurately
  • Oversee bi-weekly payroll processing, including preparation of tax forms (IRS 941 and NH State Tax & Wage forms)

Audit and Compliance

  • Prepare and maintain complete financial records for the annual audit
  • Assist auditors by providing required documentation and financial explanations
  • Support compliance with internal controls, financial regulations, and organizational policies
  • Coordinate secure retention and access of accounting and audit records

Administrative & Technical Support

  • Research and resolve financial discrepancies promptly
  • Provide technical support and monitoring of phone and communication systems as needed
  • Perform other duties as assigned by the Executive Director or Assistant Director of Business Operations
  • Communicate professionally with staff, vendors, and external partners regarding financial and administrative matters
  • Flexibility to take on other tasks as assigned in support of the program’s success

Qualifications

  • Associate’s or Bachelor’s degree in Accounting, Finance, Business Management, or a related field
  • At least 2 years of experience in financial operations or office procedures; nonprofit or human services experience preferred
  • Knowledge of state billing portals and related processes is a plus
  • Proficiency with QuickBooks Desktop required
  • Microsoft Excel and ADP proficiency preferred
  • Ability to prepare accurate financial reports, including profit and loss statements and balance sheets
  • Highly organized and detail-oriented, with the ability to prioritize multiple tasks
  • Excellent written and verbal communication skills
  • Strong sense of integrity and ability to handle sensitive financial information confidentially
  • Demonstrated ability to work independently and collaboratively in a team environment

Compensation

Starting salary of $50,000 with adjustments based on experience and qualifications.

Work Environment

This role is based on-site at our residential treatment campus and involves interaction with internal staff and external partners. The work is office-based and requires flexibility, accuracy, and professional communication. The ability to manage time effectively and meet deadlines is essential.
