HVAC & Plumbing Dispatcher / Service Coordinator

Weiss Air Conditioning & Plumbing is seeking an experienced Dispatcher / Service Coordinator to help lead the daily operations of our growing HVAC and plumbing service department.

This is not an entry-level office position. We are looking for someone who understands the fast-paced nature of the skilled trades and can confidently coordinate technicians, manage schedules, communicate with customers, and keep operations running smoothly during busy seasons.

In this role, you will work closely with our Lead Dispatcher, serving as a key member of our operations team and acting as their primary backup when needed.

What You'll Do

As a Dispatcher / Service Coordinator, you will:

• Assist with dispatching and routing HVAC and plumbing technicians for maximum efficiency
• Support the Lead Dispatcher and serve as dispatch backup when needed
• Manage appointment scheduling, confirmations, reschedules, and customer communications
• Monitor technician progress throughout the day and make schedule adjustments as necessary
• Generate and review invoices for accuracy before closing jobs
• Process customer payments and assist with accounts receivable tasks
• Maintain accurate customer records, job notes, and service histories
• Coordinate seasonal maintenance scheduling and membership fulfillment
• Ensure all job information is complete for billing, follow-up, and reporting purposes
• Work closely with technicians, management, and office staff to keep operations running efficiently

Required Qualifications

• Minimum 2 years of dispatching, service coordination, or administrative experience within the HVAC industry OR a minimum of 5 years of dispatching or service coordination experience within another skilled trades industry such as plumbing, electrical, roofing, restoration, garage doors, pest control, or similar field service businesses
• Experience managing technician schedules and service appointments
• Strong organizational and multitasking abilities
• Excellent customer service and communication skills
• Ability to remain calm and professional in a fast-paced environment
• Strong computer and software skills
• High attention to detail and accuracy

Preferred Qualifications

• Experience with Housecall Pro
• Experience with maintenance agreement scheduling
• Familiarity with invoicing, payment processing, and accounts receivable
• Experience supporting both service and installation departments
• Knowledge of HVAC and plumbing terminology
• Experience working with route optimization and technician scheduling

Schedule

• Monday through Friday
• 7:30 AM to 4:30 PM
• Overtime opportunities during peak seasons
• Participation in an alternating on-call rotation is required
