Position Summary:
The Title Clerk is responsible for ensuring the accurate and timely processing of vehicle titles and registration paperwork for both in-state and out-of-state deals. This position works closely with the sales team, lenders, tag agencies, and DMV offices to ensure compliance with state regulations and company policies.

Key Responsibilities:

  • Prepare and process all title and registration documents for new and used vehicles sold.

  • Submit title paperwork to appropriate state and county agencies in a timely manner.

  • Process vehicle payoffs and obtain lien releases when necessary.

  • Verify accuracy of all vehicle purchase contracts and paperwork prior to submission.

  • Maintain a working knowledge of title requirements in multiple states, as needed.

  • Track and follow up on outstanding titles and resolve any issues or discrepancies.

  • Ensure proper documentation is submitted for vehicle sales involving trade-ins, leases, payoffs, and wholesale transactions.

  • Maintain accurate logs and title status reports.

  • Communicate effectively with lenders, tag agencies, and internal team members to ensure completion of all title work.

  • Assist in resolving title-related issues or escalations.

  • File and maintain title documents, including scanning and digital storage.

  • Perform other duties as assigned to support the dealership operations.

Accounting Support Duties:

  • Receipt checks and funds received for vehicle purchases, payoffs, and other transactions accurately in the DMS.

  • Submit all invoices related to title work (e.g., tag fees, courier services, DMV payments) to accounting for payment processing.

  • Ensure all payments are coded and submitted with appropriate documentation and approvals.

  • Reconcile daily payments and transactions related to titles and tag processing.

  • Assist the accounting team with month-end title-related reconciliations and reporting.

Qualifications:

  • High school diploma or equivalent required; associate degree preferred.

  • 1–2 years of experience in automotive title processing or DMV documentation preferred.

  • Strong knowledge of state and federal title and registration requirements.

  • Exceptional attention to detail and organizational skills.

  • Ability to prioritize tasks and meet strict deadlines.

  • Proficient in Microsoft Office and dealership management software (CDK, Dealertrack, DLR, DLR50, etc.).

  • Strong communication skills and a professional demeanor.

  • Ability to work independently and as part of a team.
