POSITION SUMMARY

This position reports to the Director of Pharmacy and or a Registered Pharmacist. This person should have a pharmacy technician background, as well as previous pharmacy or hospital purchasing/buying experience. The preference is that the person is Nationally Certified and holds a state license.

The Pharmacy purchasing technician is responsible for purchasing the necessary drugs and materials for the Pharmacy Department. Is responsible for procurement, receiving and inventory control of pharmaceuticals; for processing purchase orders and invoices; for maintaining contract files and for compliance with contracts, and for responses to pharmaceutical recalls. Must be proficient with wholesaler ordering systems, inventory management, GPO reports and contract compliance reports. Is responsible for all clinic buying and ensuring Departmental Charging (IDB) is accurately completed. Alerts the Director of Pharmacy of changes in buying trends, including unusual use of drugs and use of new costly drugs. Works effectively under the direct supervision of the manager, pharmacy operations and/or a Registered Pharmacist to meet the drug needs of the hospitalized patient.

ESSENTIAL DUTIES AND RESPONSIBILITIES

PRIMARY POSITION ROLES:

  1. Purchase drugs and supplies in accordance with hospital GPO Bids best demonstrated practices
  2. Assures that all orders received are properly checked-in and put away
  3. Manages drug shortages and "outs" and communicates to appropriate staff
  4. Monitors and maintains backorders until resolved
  5. Responsible for issuing drugs or supplies to departments throughout the hospital and hospital clinics
  6. Maintain contract compliance through constant monitoring of purchases, proper use of shelf labels, Min/Max, bar codes, stock cards, etc.
  7. Processes invoices and credits (OPAL) daily. Monitors purchase ledger against monthly purchase budget
  8. Monitors statements or direct vendor log for invoices not paid
  9. Assure adequate control and documentation of controlled substances
  10. Returns outdated and unusable medications to the reverse distributor (e.g., Inmar, Stericycle), and ensures proper credit is received
  11. Understands and maintains the standards set by the Drug Supply Chain and Security Act (DSCSA)
  12. Maintains proper records for purchases / sales to local pharmacies (borrow/loan)
  13. Documents all recalled drugs and action taken
  14. Assists in preparing for and supervising physical inventory functions including verifying final reports
  15. Maintains proper inventory control and storage (Min/Max, monitoring stock levels, maximizing turns)
    1. Rotates stock to ensure use before expiration date
  16. Reports significant builds and burns of inventory monthly using the Inventory Build/Burn Spreadsheet
  17. Assist in supervising pharmacy billing. Ensure that patient charges and credits are done promptly and accurately
  18. Assists in getting new drugs added to the Pharmacy Operating System and maintains Charge Master
  19. Maintain a readily retrievable filing system for all Invoices, billing, narcotic, and ancillary records
  20. Ensures the Departmental/ Clinic Charging (IDB) is done accurately and monthly summary reports are completed by the deadline
  21. Ensures that look-alike, sound-alike medications are segregated in the Pharmacy.
  22. Repackages bulk medications in unit-dose packages safely and accurately per established procedures using appropriate techniques
  23. Demonstrates competence in automated dispensing equipment and adheres to established processes and procedures
  24. Maintains security and confidentiality of passwords
  25. Attends and participates in departmental meetings, in-services, and quality improvement programs
    1. Maintains all required training and education per department requirements (e.g. HealthStream, Continuing Education)
  26. Adheres to hospital and departmental policies and procedures. Complies with all requirements related to risk management, safety, security, fire, and infection control. Complies with all applicable state, local and federal regulations.

SECONDARY POSITION ROLES:

  1. Maintains safety-integrity-professionalism at all times
  2. Organizes and prioritizes work assignments
  3. Demonstrates good oral and written communication
  4. Answers the telephone, identifying self and department; directs calls to appropriate personnel
  5. Keeps pharmacy areas clean, neat, and well organized; Keeps pharmacy equipment clean
  6. Completes and documents all assigned medication storage area inspections at least monthly; identifies and replaces outdated and unusable drugs
  7. Performs other duties, including technician duties as assigned by supervisor
  8. Wears hospital badge identification while on duty.
  9. Meets dress code stru1dards; appearance is neat and clean. Is conscientious in regard to personal hygiene.
  10. Treats patients and families with respect and dignity. Assures confidentiality of patient records.
  11. Maintains a good working relationship both within the department and with other departments.
  12. Assists in the resolution of problems or concerns while being a supportive team member.
  13. Consistently strives to promote great customer service in all aspects of the job.

Job Requirements

POSITION REQUIREMENTS

A. Education

  • High school degree or equivalent

B. Qualifications/Experience

  • CA Pharmacy Tech License required.
  • One year experience in Pharmacy Purchasing or similar required.
  • Previous experience as a hospital pharmacy technician.
  • ACPE or ASHP accredited course in compounding sterile preparations preferred
  • Training and proficiency in age specific therapies for hospital patients.
