Position Description

Administrative Assistant/Receptionist will handle a variety of personnel related administrative duties. Ensuring smooth communication and prompt resolution of all queries and handling confidential matters, supporting with daily administrative tasks and assisting in coordinating processes and relevant documents along with other administrative duties.

· Serves visitors by greeting and directing them appropriately

· Notifies company personnel of visitor arrival

· Answering, screening, and forwarding incoming phone calls

· Receiving and sorting daily mail

· Maintains security and telecommunications system

· Maintains safe and clean reception area by complying with procedures, rules, and regulations

· Order front office supplies and keep inventory of stock

· Write and distribute email, correspondence memos, letters, faxes, and forms

· Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing

· Create & maintain various spreadsheets.

· Assist with Sales responsibilities including:

o Proposals

o Bid Packages

o Insurance Certificates

· Assist with Accounting responsibilities including:

o Applying check payments to invoices

o Running credit card payments

o Paying utilities


Position is Monday-Friday, 8am-5pm.

Requirements:

The following qualifications along with individuals previous work experience will be considered by the company when evaluating applicants:

  • 18 years of age or older
  • Proficient in Microsoft Word, Excel, Outlook, PowerPoint, and Adobe Acrobat
  • Strong typing skills (60 wpm)
  • Excellent communication skills
  • Able to understand written and spoken instructions
  • Great organizational skills
  • High school diploma
