We are looking for a meticulous and proactive Administrative Assistant to join our team in Santa Monica for a short-term coverage. This is a one-week assignment to cover for admin and facility related responsibilities.
Responsibilities:
• Coordinate and arrange lunch deliveries and catering services as needed.
• Keep common areas, including the kitchen, clean and well-maintained.
• Monitor and replenish office supplies, ensuring inventory levels meet operational needs.
• Place orders for office supplies and maintain vendor relationships for seamless procurement.
• Handle expense reporting and ensure invoices are accurately coded and approved.
• Provide support in managing vendor contracts and relationships.
• Answer and manage calls on a multi-line phone system in a highly organized manner.
• Assist with organizing and maintaining general office records and systems.
• Proven experience in administrative or office support roles.
• Strong organizational skills with the ability to multitask and prioritize responsibilities.
• Familiarity with using and managing multi-line phone systems.
• Demonstrated ability to maintain vendor relationships and coordinate supply orders.
• Proficiency in handling expense reports and coding invoices.
• Must be fully vaccinated as per company policy.
• Excellent communication skills and attention to detail.
• Ability to work effectively in a fast-paced environment.
