Document Control Administrator:
Our client is seeking a detail-oriented Document Control Administrator to support project teams by managing, organizing, and safeguarding critical documentation. This role requires exceptional attention to detail, strong organizational skills, and the ability to work collaboratively across departments to ensure timely and accurate document handling. The ideal candidate will be comfortable working with both physical and digital files, have proficiency in standard office software, and thrive in a fast-paced environment.
This role is onsite in Vancouver, Washington.
Document Control Administrator Responsibilities:
- Coordinate the intake, logging, transmission, and retrieval of project-related documents.
- Maintain accurate filing systems, both electronically and in hard copy, in compliance with established protocols.
- Manage document version control, ensuring revisions are updated and distributed appropriately.
- Archive records according to company standards and regulatory requirements.
- Generate project status reports and maintain data entry for assigned projects.
- Support internal and external stakeholders by providing timely access to required documentation.
- Enforce security measures for sensitive or confidential materials.
- Assist in developing and implementing standardized work procedures.
- Conduct regular audits of internal records and files for accuracy and completeness.
- Provide training and guidance to team members on document control processes.
Document Control Administrator Qualifications:
- High school diploma or GED required; additional training in records or document management is a plus.
- Minimum of 2 years of experience in document control, records management, or a related administrative role.
- Proficiency in Microsoft Office Suite (Word, Excel, Access) and document creation tools such as Adobe Acrobat.
- Strong computer skills and the ability to quickly learn new systems or databases.
- Excellent organizational, prioritization, and multitasking abilities.
- Strong written and verbal communication skills, with a collaborative and customer-focused approach.
- Ability to manage multiple priorities under tight deadlines while maintaining accuracy and attention to detail.
