Job DescriptionWe are looking for an organized and personable Office Administrative Assistant to support the day-to-day operations of the Upper School at a co-educational independent school in New Canaan, Connecticut. This contract position involves engaging with students, parents, and faculty while ensuring the smooth functioning of administrative tasks. Responsibilities:
• Manage visitor access and maintain the safety and security of the building.
• Oversee student attendance and dismissal records for Grades 5-9, ensuring accuracy and timeliness.
• Provide administrative support to the Assistant Head of the Upper School, handling various tasks as needed.
• Coordinate the procurement and inventory of books and supplies, fulfilling faculty requests and verifying receipt of orders.
• Communicate maintenance needs promptly and follow up to ensure issues are resolved efficiently.
• Assist with posting updates about sports and after-school activities on building monitors.
• Welcome parents, students, and visitors with professionalism and a friendly demeanor.
• Handle additional assignments and projects as directed by the division head or administrative team.• Strong multitasking abilities with the capacity to transition between tasks seamlessly.
• Proficiency in G Suite and the ability to quickly adapt to new software and systems.
• Excellent verbal and written communication skills, with an engaging and approachable attitude.
• Detail-oriented approach when interacting with parents, visitors, and the school community.
• Problem-solving skills and a proactive mindset to address challenges effectively.
• Ability to remain calm and composed under pressure.
• Flexibility and commitment to supporting the needs of the school environment.
