Position Overview


We are seeking a highly capable, self-motivated Office Manager to support an emerging oil and gas project in Alaska. This role is critical to establishing day‑to‑day operational stability as the project gains its footing. The ideal candidate is strong‑willed, resourceful, comfortable working independently, and thrives in environments where structure is still being built.

This position requires a hands‑on, proactive professional who can take initiative, solve problems independently, and support operations across multiple functional areas. Early‑stage leadership will be limited, so success in this role depends on confidence, sound judgment, and the ability to “own” problems from identification through resolution.


Key Responsibilities

Office & Administrative Operations

  • Establish and manage daily office operations for the Alaska project
  • Implement administrative systems, processes, and controls as needed
  • Serve as the central point of coordination for office activities, vendors, and service providers
  • Maintain office records, contracts, and documentation in compliance with company and regulatory requirements

Cross‑Functional Support

  • Provide functional support across multiple business areas, including:
  • Supply chain and procurement (vendor coordination, purchase tracking, logistics support)
  • Accounting and finance (invoice processing, expense tracking, budget assistance, coordination with external accounting teams)
  • Sales and business development (proposal support, data preparation, client and partner coordination)
  • Assist project leadership with ad hoc requests and operational problem‑solving

Problem Solving & Initiative

  • Identify gaps, inefficiencies, and risks in office and project operations
  • Independently develop and implement practical solutions
  • Escalate issues only when necessary, with proposed solutions whenever possible
  • Act as a steady, reliable presence during early‑stage project growth



Communication & Coordination

  • Coordinate communication among internal teams, remote stakeholders, and external partners
  • Prepare reports, schedules, and summaries as required
  • Support onboarding of new employees and contractors as the project grows


Qualifications & Experience

Required

  • Demonstrated ability to work independently with minimal supervision
  • Strong organizational, problem‑solving, and decision‑making skills
  • Professional maturity, confidence, and resilience in challenging environments
  • Excellent written and verbal communication skills
  • Proficiency with standard office software (Microsoft Office, Google Workspace, accounting or ERP systems)

Highly Preferred

  • Prior experience in oil and gas, energy, mining, construction, or other industrial environments
  • Exposure to multiple functional areas, such as:
  • Supply chain or logistics
  • Accounting, finance, or budget administration
  • Sales, contracts, or business development
  • Experience working in remote, frontier, or start‑up operations, particularly in Alaska
  • Familiarity with Alaska business operations, vendors, or regulatory environment
