Position: Senior Executive Assistant
Client: Insurance
Location: New York, NY 10001
Duration: 3 months of Contract + Possible extensions
Work Schedule: Hybrid - 3 days Onsite(Tues/Wed/Thursday)/ 2 days Remote, per week
Pay rate: $70/hr - $130/hr depending on experience
Job Description: Please note this is a VERY senior level EA role supporting a Client Senior Level Executive.
- Provide executive administration support for the Chief Marketing and Communications Officer.
- Partner closely with the executive assistants of Client’s Leadership Team to ensure availability for critical meetings.
- Coordinates meetings and strategic activities with the Marketing & Communications Leadership Team – including booking rooms and Video / Audio conference calls and expense management.
- Supporting the administrative processes for vendor management, e.g., reconciliation of invoices, inputting requests in various systems and receipting for completed work
- Assisting managers in day-to-day activities including the coordination of daily meetings and schedules, and expense report management
- Assist with the preparation of external and internal Business documents, communications and presentations.
- Coordinates and manages travel arrangements for multiple parties; ensures compliance with travel policies and budget constraints.
- Implements efficient record-keeping systems and ensures records are updated regularly.
- Organize and manage logistics for meetings, including virtual setups; prepare and distribute detailed meeting minutes and follow-up action items.
- Prepare and distribute routine reports and summaries; analyze data to ensure completeness and accuracy before report submission.
- Screens and prioritizes calls, e-mails, and visitors based on urgency and importance and manages follow-up communications.
- Perform general administration and confidential duties.
