Job Summary:
Pro Temp of Illinois, Inc is a growing construction contractor supporting Mechanical, Electrical, and Plumbing (MEP) projects. We are seeking a dependable, organized, and proactive Office Manager to keep our office running smoothly and support our field and project teams.
Key Responsibilities:
Office & Administrative Management:
• Manage day-to-day office operations, supplies, vendors, and office organization
• Answer phones, manage general email inbox, and direct calls/messages appropriately
• Maintain filing systems (digital and paper), job folders, and internal documentation
• Support leadership with scheduling, meeting coordination, and general administrative tasks
Construction Support (MEP / GC Operations):
• Assist with project startup paperwork and job documentation
• Track contracts, Certificates of Insurance (COIs), subcontractor/vendor compliance, and required forms
• Support project managers with document organization, logs, and reporting needs
• Coordinate communication between office staff, field crews, vendors, and customers
Accounting & Invoice Support:
• Collect and organize vendor invoices, subcontractor invoices, and receipts
• Prepare invoices and backup documentation for billing (as needed)
• Suppliers and Subcontractors billing process, accounts payable and receivable processes
Compliance & Reporting:
• Maintain COIs, licenses, permits, and project documentation as required
• Assist with basic reporting, spreadsheet tracking, and document control
• Handle sensitive company information with confidentiality and professionalism
HR & Employee Support:
• Assist with onboarding paperwork and employee file maintenance
• Track certifications, training requirements, and safety documentation
• Coordinate uniforms, badges, and employee-related needs
Qualifications:
• 2+ years of office management experience (construction industry preferred)
• Strong organizational skills and ability to manage multiple priorities
• Excellent written and verbal communication skills
• Proficiency with Microsoft Office (Excel, Word, Outlook)
• Experience with construction software is a plus (e.g., QuickBooks, Bluebeam)
• Professional, dependable, and detail-oriented
• Ability to work independently and take initiative
Preferred Skills:
• Experience supporting MEP construction (mechanical/electrical/plumbing)
• Familiarity with subcontractor compliance tracking
• Basic understanding of construction billing and lien waivers
• Experience with bookkeeping processes
