Job DescriptionSalary:
The Office Manager oversees all the administrative work in the Main Office to ensure efficient school operations. The Office Manager also works as an assistant to the President and Principal. The ability to work as a team member and collaborate with several constituents is critical. The Office Manager commits to the mission of Catholic education in the Mercy tradition.
DUTIES AND RESPONSIBILITES:
- Supervise Administrative Specialist, Counseling Administrative Assistant and Teacher Assistants.
- Maintains accurate/up-to-date information for employees in BambooHR and Veracross.
- Exports information from BambooHR and Veracross to be used administratively as well as for official documents and mandated reporting.
- Track completion of all onboarding tasks, including Welcome email, IT equipment and system access setup, and policy and procedure training as outlined in the Employee Handbook.
- Manage and execute the full onboarding process for new hires, ensuring a smooth and compliant transition by initiating and tracking background checks and clearances as mandated by the PA Department of Education.
- Develops and ensures new employee procedures are executed and compliant with federal, state, school and MESA requirements.
- Maintain accurate employee records including evaluations and professional development.
- Monitor school activities and ensure accurate scheduling of school events.
- Assists President and Principal with administrative duties as assigned.
- Co-coordinate all Graduation details and assist with end of year activities.
- Work with Academic Support Specialist to issue daily faculty substitution lists.
- Organize Teacher Assistants schedules and assignments in conjunction with Academic Support Specialist.
- As part of security team, ensures safe school environment.
- Serves as the Board Secretary to the Board of Trustees, assuming the duties related to the Board of Trustees, such as attending meetings and recording minutes. Preparation of Board documents and planning of Board functions, assisting the Board Chair as directed.
- Other projects as directed.
COMPETENCIES:
- Ability to multi-task with variousprojectsoccurring simultaneously.
- Fast-paced office environment requiring flexibility and professionalism.
- Strong attention to detail and maintaining accuracy; highly organized with strong time management.
- Excellent written and verbal communication skills.
- Proficient use of Office 365 andvarious database systems; Knowledge of Veracross and BambooHR preferred.
- Professional demeanor and strict adherence to confidentiality in all school and Board of Trustee matters.
- Ability to work with a variety of constituents/personalities.
SPECIFICATIONS:
- Bachelors degree in business or related field.
- Technologically competent in database management.
- Solid knowledge of Office 365 and Microsoft Office products, particularly Excel, Power Point and Word.
- Experience in a school setting preferred.
- Manager Experience preferred.
- Some evening and weekend work required.
