Local Heating & Air Conditioning Company / Accounts ReceivablePay: $16 - $19 DOEHours: Monday - Friday 8-5 (overtime during busy season required)
Dispatching experience not necessary. We are a leading HVAC, plumbing, and fire protection service provider committed to delivering exceptional service to our clients. Our team is looking for a dedicated General Office Assistant to join us. The primary focus of this role will be processing service billings and collections for our service department (HVAC service, plumbing service, fire protection service). A secondary role will be assisting the Service Dispatcher with a variety of miscellaneous dispatching activities.Core Responsibilities
- Review completed service work orders to ensure accuracy before generating invoices
- Verify labor hours, parts, materials, and service charges for correct billing
- Ensure invoices comply with contracts, warranties, and customer agreements
- Communicate with service technicians, project managers, and customers to resolve discrepancies
- Process invoices accurately and in a timely manner
- Follow up on outstanding invoices and payments if needed
- Assist with service dispatching, including creating service work orders, processing warranties, support for quotes, and data entry
- Support the office team with other administrative duties as needed
Requirements
- Proficiency in invoicing and accounting software (QuickBooks, Sage, ServiceTitan, Jonas, or similar) or ability to learn quickly.
- Strong knowledge of Microsoft Office (Excel, Word, Outlook).
Soft Skills
- Attention to detail – Avoid errors in pricing, tax calculations, and job details.
- Organized & efficient – Able to manage multiple invoices daily.
- Customer service skills – Handle customer billing inquiries professionally.
- Familiarity with service work order systems and job costing in HVAC/plumbing, or ability to learn quickly.
- Problem-solving skills – Identify and resolve discrepancies in billing.
Education and Experience
- High school diploma or equivalent; additional education or certifications in accounting or finance is a plus
- Experience in HVAC, plumbing, or mechanical contracting (preferred).
- 1-3 years of experience in billing, invoicing, or accounts receivable.
Ability to commute/relocate:
- Wichita Falls, TX 76301: Reliably commute or planning to relocate before starting work (remote work is not available)
