We are searching for a fully bilingual office assistant (Spanish and English) to provide administrative support for our busy immigration law firm in White Plains, New York. This position is full-time and in person. You will be responsible for answering the phones and taking accurate messages for clients in English and Spanish, and answering questions in a friendly and timely manner. You will translate when needed.


You will implement office standards to streamline our processes, scheduling appointments, and ordering office supplies. The position requires attention to detail and the use of CRMs to include Lawmatics, My Case, and INS Zoom. You will be required to send correspondence to the client to follow up on cases, payments, and invoices. You will also be responsible for following up with clients after consultations and creating/sending retainers, sending out mailings to the Court and clients, and also keeping the file room in a neat and orderly manner. Each day, you will also scan the mail and upload the documents to our systems and send out the mail to clients as needed.


You will also file notices and documents and upload them to MY CASE. You will place original notices in client files. The Assistant will put files away in the cabinets each day in alphabetical order (some heavy) and have the files ready when clients come to the office for their meetings.


Applicants should be extremely thorough, possess excellent communication skills in English and Spanish, and have some knowledge of law or a background in a law office or immigration law. Send us your resume today to become part of the team!

Compensation:

$23 - $26 hourly

Responsibilities:

  • Answer phone calls and emails to act as a liaison between clients and staff members to improve customer retention and referral rates
  • Purchase office equipment when appropriate
  • Perform filing duties and upload digital files to our CRM and place original approval notices in files
  • Follow up with clients relating to payments and overdue invoices
  • Send client approval notices and correspondence about their cases
  • Perform translations
  • Answer phones and relay accurate messages in English and Spanish
  • Follow up with the client relating to appointments, retainers, and payments

Qualifications:

  • Customer service experience in our industry is preferred
  • Technologically savvy; basic knowledge of Microsoft Office Word and Excel programs and filing systems with the ability to learn new programs quickly and troubleshoot common issues
  • History of being deadline-driven and extremely organized
  • High school diploma or GED required
  • Shows great interpersonal skills and excellent written communication
  • Must speak, read, and write both Spanish and English fluently
