Key Responsibilities

  1. Front Desk Management:

    • Greeting and checking in patients.
    • Scheduling appointments and managing the dentist's calendar.
    • Handling phone calls, emails, and patient inquiries.
  2. Patient Coordination:

    • Collecting and updating patient records.
    • Explaining treatment plans and financial arrangements.
    • Ensuring patient satisfaction and addressing complaints.
  3. Billing and Insurance:

    • Preparing and submitting insurance claims.
    • Managing patient billing, payments, and accounts.
    • Following up on outstanding balances and claims.
  4. Administrative Tasks:

    • Ordering and maintaining office and clinical supplies.
    • Coordinating with external vendors (e.g., lab services, equipment maintenance).
    • Ensuring compliance with HIPAA and other regulations.
  5. Office Organization:

    • Maintaining a clean and welcoming reception area.
    • Filing, organizing, and maintaining patient charts and electronic records.
  6. Team Support:

    • Assisting dentists and hygienists with administrative needs.
    • Coordinating staff schedules, if required.

Skills and Qualifications

  • Educational Requirements:
    • High school diploma or equivalent (an associate degree in healthcare administration or related field is advantageous).
  • Experience:
    • Applicants must have prior experience working in a dental office.
    • Strong understanding of dental office operations, procedures, and terminology.
  • Skills:
    • Strong organizational and multitasking abilities.
    • Excellent communication and customer service skills.
    • Proficiency in dental software (e.g., Dentrix, Eaglesoft) and basic office tools (e.g., Microsoft Office).
    • Knowledge of dental insurance policies and billing procedures.
