JOB SUMMARY:

Under general guidance, the Academic and Career Exploration Assistant Director supports the operations and the Director of the Academic and Career Exploration Program and advises students in achieving educational, career, and personal goals. In addition, the Assistant Director works in collaboration across colleges and is responsible for the department in the director's absence.

ESSENTIAL DUTIES:

  • Supervise staff and manage all operations of the office in absence of the Director.
  • Meet and advise both undeclared and specific student populations a minimum of three times per semester to assist in identifying major choices and career goals; including but not limited to students participating in NUOP, ACP, ASP, Athletics, and the Honors programs.
  • Assist students in developing skills for academic success and monitor students' academic progress.
  • Assist in the development, coordination, and delivery of Academic and Career Exploration's programs and presentations for new students at Summer and Fall Orientations and support enrollment initiatives for the program.
  • Meet with prospective students and provide consultations in other majors as needed.
  • Execute Summer Orientation sessions for the Academic and Career Exploration Program.
  • Represent the department at university functions on and off-campus; development of the program through research, attending regional or national conferences, and use of applicable webinars.
  • Participate in student onboarding initiatives for the Academic sector.
  • Work with the Director on marketing materials used for the program.
  • Serve on committees and perform other duties as assigned by the supervisor.
  • Faculty and staff are expected to maintain the confidentiality of all confidential and proprietary information (including but not limited to: student personal information, student grades, employee information, etc.), both during and after their employment with the University. If a faculty or staff member has a question about the confidentiality of a particular matter, he/she should consult their supervisor. Any violation of this rule shall subject the faculty /staff member to disciplinary action, up to and including immediate termination of employment. GENERAL DESCRIPTION:

% of Time

60% Advise assigned caseload of students, based on each academic year total of students, at least three times per semester to discuss course selection, scheduling of classes, major and career direction, and development of plans based on individual student needs.

10% Monitor, update, and use all required University systems and databases for academic and registration information related to caseload of students including but not limited to: Early Advantage Program (EAP), Failure to Register (FTR), and Midterm Grade Report, routinely completing follow-up with students.

10% Review and employ current best practices of academic advising through research, University collaboration, and attending national or regional conferences as applicable. Provide support to faculty and staff for advisement and Self Service training.

10% Summarize and evaluate data for the retention and recruitment of students. Monitor student academic status and progress toward satisfactory academic progress. Work with the dean of Academic Services to support retention and graduation completion initiatives, and SUMO Steering Committee, serve on committees as assigned.

5% Provide information about the department to prospective and accepted students and their families through formal group presentations, information tables, or during individual visits to campus. Represent the program at university functions. Work with supervisor, admissions, and public relations to create marketing materials for the department.

5% Supervise staff and manage the office in the absence of the Director.

4) Demonstrated competence in the use of computer applications.

5) Excellent written and oral communication skills.

6) Well-developed counseling and advisement skills.

7) Strong academic background.

8) Possess objectivity and sound judgment.

9) Ability to participate on campus committees as deemed appropriate by the supervisor.

ERGONOMIC REQUIREMENTS:

The functions of the position are usually performed sitting but may require some amount of time standing. Some amount of stooping, kneeling, bending, crouching, lifting, walking, carrying and other movements may be required. Tasks involving working on a computer keyboard, typewriter, calculator, cutting, labeling, and taping involve extensive wrist and hand movement. All individuals are required to be able to perform these movements without significant risk of injury to themselves or others.

QUALIFICATION STANDARDS

1) Master's degree in a related field is required; master's degree in education, counseling or student personnel administration is preferred.

2) A minimum of three to five years experience working with students, especially at college level in an advising department is required.

3) A valid New York State driver's license is required that satisfies both University and insurance company

underwriting rules and regulations for driving a motor vehicle.
