OverviewWe are seeking a proactive and detail-oriented Administrative Assistant/Receptionist to join our team! This role is essential in ensuring the smooth and efficient operation of our office. The ideal candidate will primarily be responsible for managing our main phone line and providing exceptional customer service, along with handling a variety of administrative tasks. The initial focus will be on organizing and streamlining existing administrative processes, with full training provided by the previous assistant before their departure. This is an excellent opportunity to become an integral part of a dynamic and supportive team.

Responsibilities

  • Answering the main phone line and efficiently transferring calls to the appropriate team members
  • Sorting, receiving, and processing incoming and outgoing mail and packages
  • Scanning check registers and vendor invoices, maintaining organized electronic records for each property (approximately three check runs per month)
  • Scanning and distributing monthly property management reports to owners via mail and email
  • Managing and ordering all office supplies
  • Periodically visiting the post office for mail pickup and drop-off
  • Other administrative duties as assigned


Qualifications and Skills

  • High School Diploma or GED required
  • Minimum of 1 year of reception experience required
  • Minimum of 1 year of data entry experience required
  • Accounts payable experience preferred
  • Strong written and verbal communication skills
  • Excellent organizational and time-management abilities
  • Ability to multitask and prioritize tasks effectively
  • Strong attention to detail and accuracy
  • Ability to maintain confidentiality


Schedule: Monday - Friday (8:00AM - 5:00PM)
Compensation: $20.00 Hourly
