Administrative Assistant – Job Description
We are seeking an organized, proactive, and professional Administrative Assistant to join our team. In this role, you will support our staff and financial advisors with a variety of clerical and administrative tasks, ensuring smooth daily operations and excellent service for our clients. This position requires strong communication skills, attention to detail, and the ability to work independently.
Key Responsibilities
Administrative & Clerical Support
- Provide day-to-day clerical support to office staff, executives, and financial advisors
- Answer incoming phone calls in a professional manner; route calls appropriately or take detailed messages
- Manage incoming and outgoing mail; prepare packages and correspondence
- Make copies, maintain organized filing systems (paper and electronic), and ensure documents are up to date
Scheduling & Coordination
- Plan and schedule meetings, presentations, and office events
- Coordinate travel arrangements and send reminders for upcoming appointments
- Assist with planning and organizing client events
Office Management
- Monitor and maintain office supplies and equipment
- Request repairs or restocking when necessary
- Ensure the office remains clean, organized, and client ready at all times
Client Support
- Assist clients with operational and client‐service activities needs and administrative requests
- Support financial advisors by preparing presentation materials and ensuring seamless client experiences
Requirements & Qualifications
- High school diploma or GED required
- Two (2)+ years of experience as an administrative assistant
- OR at least one (1) year in the financial industry
- Fast, accurate, and proficient typing skills
- Strong working knowledge of Microsoft Office Suite and standard office equipment
- Excellent customer service, interpersonal, and communication skills
- Ability to work independently, stay organized, and manage time efficiently
- Professional demeanor and strong attention to detail
