Overview
We are seeking a highly organized and detail-oriented Office Administrator to support our construction operations. This role is responsible for managing critical administrative, accounting, and subcontractor documentation processes. The ideal candidate is proactive, accurate, and comfortable handling multiple priorities in a deadline-driven environment.
Responsibilities
- Prepare and submit pay applications (approximately one week per month)
- Prepare, track, and manage all aspects of change orders
- Manage accounts receivable, including tracking and follow-up
- Enter and process weekly invoices accurately and on time
- Manage and maintain subcontractor agreements
- Track and manage subcontractor compliance documentation, including Certificates of Insurance (COIs) and W-9 forms
Qualifications
- Previous experience in office administration, construction administration, or accounting support
- Strong attention to detail and organizational skills
- Ability to manage deadlines and multiple ongoing tasks
- Proficiency with invoicing, documentation, and recordkeeping
- Comfortable working independently and taking ownership of responsibilities
- Construction industry experience preferred but not required
