GENERAL DESCRIPTION:

The purpose of this position is to perform a variety of routine and complex administrative/clerical support assignments for the Clerk of Court operations.


ESSENTIAL JOB DUTIES:

· Accepts and processes documents for filing as required in accordance with court rules and procedures.

· Processes new case filings for Family Court. Enters new cases into the SC Judicial Branch Family Court Case Management System.

· Processes new case filings for Common Pleas Court that are exempt from e-filing through the SC Judicial Department E-Filing System.

· Processes and indexes General Sessions filings as needed.

· Ensures the security and confidentiality of case files and information as appropriate.

· Assists the public in obtaining information and copies of court documents as appropriate, and answers general questions about court procedures.

· Receives and records payments for various fines, fees, assessments, court costs, child or alimony support as well as other miscellaneous fees.

· Collects Public Defender Application fees for Circuit, Family, and Juvenile Courts.

· Works with other governmental agencies needing assistance with record searches and provides information, as necessary.

· Explains and answers general questions about how court works. Provides information about where to find self-help resources and telephone numbers for agencies offering legal services and information.

· Additional duties include general clerical work as required, including but not limited to data entry, copying, scanning, filing, sending and receiving faxes, emails and other correspondence as well as processing daily mail, answering telephones, greeting and assisting customers.

· Assists surety bondsmen with registration of Bond Licenses and off bond motions/affidavits.

· Coordinates the Setoff Debt Collection Program, including generating and mailing notification letters, fielding debtor questions, setting up payment schedules, and scheduling dispute hearings.

· Manages foreclosure cases from e-filing to post-sale documents and surplus funds.

· Notarizes documents for the Clerk of Court and assists with the registration of Notary Public Commissions.

· Performs other related duties as assigned.

Requirements:

KNOWLEDGE, SKILLS, AND ABILITIES:

· Working knowledge of legal language and legal procedures preferred.

· Excellent customer service skills to include the ability to effectively communicate on a one-to-one basis.

· Ability to maintain effective working relations with fellow staff members as well as other departments, officials and agencies.

· Considerable knowledge of general office procedures, bookkeeping and banking practices.

· Ability to multitask, prioritize and manage time appropriately.

· Ability to communicate effectively orally and in writing.

· Ability to be detail-oriented; ability to maintain accurate records; ability to type and enter data accurately.

· Ability to operate basic office machines and equipment.

· Ability to work in a team-oriented environment.


EDUCATION AND EXPERIENCE:

High School Diploma or equivalent, and two (2) years of experience in an administrative/clerical field; or an equivalent combination of education, training, and experience that provides the required knowledge, skills, and abilities.

This position has the following special vision requirements: close vision (clear vision at 20 inches or less); distance vision (clear vision at 20 feet or more); color vision (ability to identify and distinguish colors); peripheral vision (ability to observe an area that can be seen up or down and to the left and right when vision is fixed on a given point); depth perception (three-dimensional vision, ability to judge distances and spatial relationships); adjust focus (ability to adjust the eye to bring an object into sharp focus).
