Our client Gribbins Insulation & Scaffolding, an award-winning industrial and commercial insulation and scaffolding contractor, is seeking a detail-oriented and dependable Timekeeper to support jobsite operations in Rockport, Indiana. The timekeeper will be on-site in Rockport providing direct support for a specific customer account and occasionally at our main office in Evansville for training and development.

What You’ll Do:

Timekeeping & Labor Tracking:

  • Track and record daily hours for field crews on the assigned maintenance account.
  • Review and verify timecards for accuracy, completeness, and compliance with company and project policies.
  • Submit daily and weekly payroll reports to internal and customer teams.
  • Maintain backup documentation to support all time entries.
  • Ensure all labor hours are properly cost-coded by task or area per customer requirements.
  • Work with supervisors to confirm labor allocations and resolve discrepancies.
  • Maintain cost tracking functions within our ERP system.


Billing:

  • Generate accurate invoices using approved labor and cost data.
  • Ensure billing aligns with contract terms, rate structures, and approved cost codes.
  • Track billing cycles and deadlines to ensure timely invoice submission.
  • Maintain organized backup documentation to support all billed charges.
  • Collaborate with internal accounting and customer contacts to resolve billing discrepancies or questions.


Communication & Support:

  • Serve as the main point of contact for timekeeping questions from field personnel and management.
  • Coordinate with customer representatives, the internal payroll team, and site management to ensure data accuracy and alignment.
  • Support onboarding of new crew members with timekeeping setup and documentation and maintain daily labor rosters, and crew movement tracking.
  • Assist with administrative reporting related to trade work progress, material usage, or other support tasks as assigned.


An Ideal Candidate Has:

  • An associate’s degree or relevant administrative experience.
  • A background in project administration for industrial services, construction, or a similar industry; experience supporting field operations or jobsite teams is preferred.
  • Familiarity with digital timekeeping tools and Microsoft Office Suite.
  • Strong attention to detail and accuracy, and the ability to work independently.
  • High attention to confidentiality and discretion with sensitive information.
  • Excellent communication skills, both verbally and in writing.
  • Ability to build working relationships with clients, employees, and supervisors.
  • Experience with decision making and seeking guidance when needed.
  • Ability to work full-time on-site in Rockport, IN, and pass preemployment drug screening and background are required.
