Position Summary:
The incumbent in this position assists the office in performing everyday clerical and administrative duties associate with the summer school program admission and recruitment. Serve as a liaison between students, staff, and parents following the summer school curriculum, protocols and agency policies and procedures, among others regulatory bodies.
Responsibilities:
- Ensure summer school program office is functioning efficiently.
- Assist in answering the phone;
- Screen callers and correctly transfer calls and/or take and give messages to appropriate staff
- Filing and Records Maintenance;
- Open new Summer camp students’ files and maintain current student files up to date.
- Store and organize outgoing student files.
- Inform supervisor immediately of any pending documentation or follow up.
- Daily collect and submit participant attendance into The Children’s Trust Data Management System.
- Enter monthly attendance and student data for The Children’s Trust Summer Program;
- Review and ensure data are always up to date
- Run reports as indicated by supervisor
- Schedule and assist in conducting tours for potential summer participants between 9:30am and 12:00pm.
- Assist in the school reception desk following school safety protocols, as needed
- Distribute gloves and changing paper to classrooms as needed.
- Collect, enter, and maintain child health records in student files and on database (Procare).
- Run health related reports as needed in Procare system.
- Notify parents and staff when child’s health records are going to expire.
- Assist staff laminating and preparing (cutting and pasting) materials for the classrooms or summer activities.
- Ensure the safety of all staff, volunteers, visitors and individuals receiving services at Easter Seals.
- Act in compliance with Medical and Non-Medical Emergency Procedures.
- Assist individuals in evacuating building during emergency situations to include but not limited to: fire drills and external disaster drills. Specific duties to be assigned by immediate supervisor.
- Assume assigned responsibility for non-clinical duties during disaster and/or drills including but not limited to safety of files/office areas, closure of doors.
- Other related duties assigned by supervisor as necessary to ensure the smooth running and efficiency of Easter Seals South Florida as a whole.
Physical Demands:
- Regular to frequent requirement, and as needed, to lift children (up to 50 lbs.), including bending, stooping, stretching, walking, squatting, pushing, pulling, kneeling, crawling, sitting on low chairs or on the floor.
- The work is in a Summer Camp school setting. In order to conduct indoor and outdoor activities and interact with students in a meaningful way, some physical exertion such as the following physical demands are required:
- Noise level can be moderate to loud
- Detecting unsafe situations by sight or sound.
- Moving quickly to intervene in unsafe situations
Qualifications:
- High School Diploma. Bilingual preferred (Spanish & English)
- Ability to organize and prioritize work.
- Strong data entry/typing skills
- Strong administrative and clerical experience
- Strong time management and organizational skills
- Excellent written, verbal, and interpersonal communication skills. Ability to communicate well with diverse populations
- Costumer service oriented, self-motivated and able to work independently and/or part of a team
- Strong computer skills and experience with Microsoft Office Programs (Word, Excel).
Other:
- Work a flexible schedule as required.
- Successful completion of background process which includes: Local background check, Level 2 clearance (FBI, FDLE), clear TB test, medical clearance, drug test and reference checks.
