Position Overview
The HOA Bookkeeper is responsible for supporting the daily financial operations of multiple homeowners associations managed by Executive Management Group (EMG). This role focuses on accurate financial recordkeeping, timely processing of transactions, and maintaining compliance with association governing documents, state laws, and EMG’s internal accounting standards.
This is a mid-level position intended for candidates with solid bookkeeping experience who can work independently but do not require full-charge accounting responsibilities.
Key Responsibilities
Banking & Reconciliation
- Reconcile Association bank accounts monthly (operating, reserve, money market).
- Maintain accurate records for positive pay and lockbox deposits.
- Monitor bank balances to alert managers to funding issues or overdraft risks.
Financial Reporting
- Assist in preparing monthly financial packet drafts
- Assist managers with corrections, accrual entries, and budget-to-actual reviews.
- Upload finalized financials to the HOA online portals.
Compliance & Recordkeeping
- Ensure accounting practices comply with CCIOA, Association policies, and CPA standards.
- Assist with annual audit or review preparation.
- Help prepare year-end financial documents and 1099 processing.
Communication & Support
- Provide clear, professional communication to homeowners, vendors, and board members.
- Support HOA Managers with financial questions, budget preparation, and assessment setup.
- Collaborate with the accounting team to meet all monthly deadlines.
Qualifications
Required
- 2–5 years of bookkeeping experience (HOA experience preferred).
- Strong understanding of accounting principles (debits/credits, accruals, GL coding).
- High attention to detail and accuracy.
- Ability to manage multiple associations and deadlines.
- Excellent communication and customer service skills.
Preferred
- Experience with HOA or property management accounting.
- Knowledge of CCIOA requirements for financial reporting.
