The approximate base compensation range is posted, but the actual offer will reflect our total compensation and benefits package. The offer will be determined by a number of factors including the selected candidate’s experience, knowledge, skills, abilities, FTE, number of months worked, as well as internal equity among our team.
Under the direction of the Associate Director of Enrollment Management Operations, the Admissions Operations & Campus Visit Coordinator will welcome prospective students and community members visiting the Admissions Office and act as the first point of contact to answer general questions, triage, and direct people to appropriate offices. The individual works as an integral member of the Admissions Enrollment Team to assist with recruitment activities and the coordination of admission processes, and provides professional support in a broad range of operational recruitment activities.
Essential Functions

Manages day-to-day visits and visit communications for the Admissions Team in order to help achieve the collective enrollment goal

Oversees and develops the visitor process, including communication (which can include, but is not limited to emails, phone calls, engagement videos, and text messaging) with prospective students and tracking in Salesforce.

Responsible for overseeing, training, and day-to-day management of the multi-media/tele-counseling specialists and Campus Tour Guides.

Manage student employee timesheets and records

Create calling campaigns and reports for mult-media/telecounseling specialists as well as script information to assist with the campaign

Participates in the monthly event and visits advisory council meetings in order to ensure a broader representative college group can provide input into the campus visit experience and planning.

Point of contact for handling admissions inquiries from prospective students, including answering emails, phone calls, and addressing walk-ins. Tracks all interactions in Salesforce, our comprehensive Admissions database.

Schedules (or reschedules) daily campus visits and supports the setup and execution of the visits

Collaborates with the Enrollment Event Coordinator in scheduling and planning Admissions Large Scale Visits & Events (which includes ensuring tour guide coverage and tour management).

Collaborate with faculty and staff to support special visits (choir, band, Athletics, nursing, specialty programs, etc.)

Responsible for reviewing the website’s visit information to make sure they are up to date.

Greet and welcome prospective students, community members, and current students at the Admissions Welcome Center.

Gain a clear understanding of St. Scholastica’s procedures and support, and interact with staff and faculty throughout multiple departments, as well as prospective students and families.

Prepare and generate visit reports and communication reports to support and guide management.

Work with the Associate Director to research, develop and follow existing processes and/or create and implement new resources that improve timely and efficient workflow.

Handle all administrative and front office matters for the Admissions Office, including resolving issues from students and staff.

Answer the main admissions phone line and transfer/triage calls accordingly

Maintain proficiency in multiple databases (Google Suite, Salesforce CRM, Banner and TargetX) - entering, searching and updating prospective student information.

Maintain proficiency in Salesforce to support enrollment communications.

Perform other administrative and clerical duties and projects as assigned by the supervisor.
This employee should have strong customer service, communication, and multitasking skills to handle visitors, calls, and daily office functions efficiently. They should also be proficient and skilled in office software, detail-oriented, and adaptable in resolving issues while maintaining professionalism and a welcoming attitude.
