Position Summary: We are looking for a passionate, highly skilled Medical Office Manager with the drive and expertise to transform operations, optimize revenue, and inspire teams. The ideal candidate brings a deep understanding of both vascular and aesthetic practice management, with proven success in revenue cycle optimization and business development.
Key Responsibilities:
Leadership & Staff Management
· Lead, mentor, and empower front office staff and collaborate effectively with clinical providers.
· Cultivate a high-performing, positive culture focused on service excellence and operational efficiency.
· Oversee daily operations, ensuring optimal patient flow and provider productivity.
Billing, Coding, & Collections
· Take ownership of the entire revenue cycle for both vascular and aesthetic services.
· Ensure precise CPT coding, rapid claim submission, and aggressive follow-up on denials and underpayments.
· Implement effective systems and identify top-tier software or outsourcing solutions to ensure collection of contracted rates within 30 days.
· Conduct regular AR reviews, generate actionable insights, and drive revenue accountability.
Practice Growth & Business Development
· Collaborate on innovative marketing and patient acquisition strategies for both cash-pay aesthetics and insurance-based services.
· Analyze financial performance, identify new service opportunities, and drive revenue growth.
· Track and report key performance indicators (KPIs) with a focus on financial success.
· Forge partnerships with vendors and external consultants to support business objectives.
Qualifications:
· Minimum 3 years of experience as a Medical Office Manager or Practice Administrator in a multi-provider setting.
· Proven expertise in vascular billing, coding (CPT, ICD-10), and collections.
· Demonstrated success in growing both insurance-based and cash-pay service lines.
· Strong knowledge of revenue cycle management software and/or outsourced billing partnerships.
· Exceptional leadership, communication, and organizational skills.
· Familiarity with AthenaHealth, Availity, or similar EMR and clearinghouse systems preferred.
· Bachelor’s degree in Healthcare Administration, Business, or related field preferred but not required for candidates with exceptional experience.
