Job Description Position Summary

Northgate Ford Lincoln is seeking a detail-oriented and dependable Title Clerk / Biller to join our administrative team. This role is essential to ensuring accurate vehicle documentation, timely billing, and smooth coordination with the Finance & Insurance (F&I) department. The ideal candidate will thrive in a fast-paced environment, demonstrate strong organizational skills, and maintain a professional demeanor when interacting with internal teams and external agencies.

Key ResponsibilitiesTitle Clerk Duties

  • Process RD108s, Manufacturer’s Statements of Origin (MSOs), and clear titles

  • Register new and used vehicles with the Secretary of State using CVR systems

  • Prepare and submit tax and title documents for legal transfer

  • Verify lienholder payoff and ensure funds are collected before title processing

  • Maintain a log of outstanding title work and report discrepancies to management

  • Prepare Certificates of Origin and stock cards for new and used vehicles

  • Sign over titles for wholesalers upon full payment

  • Stay current on title regulations and attend relevant training sessions

Billing Duties

  • Bill out dealer trades and vehicle sales accurately

  • Post vehicle purchases and sales to accounting systems

  • Support the F&I department by typing finance contracts and extended warranties

  • Submit documents with payment and ensure timely processing

  • Maintain records of warranties and service contracts

Administrative Support

  • Cover phones during cashier breaks or absences

  • Assist with yearly dealer tag renewals

  • Maintain a neat and professional workspace

  • Cross-train and support other administrative roles as needed

Qualifications

  • High school diploma or equivalent (Associate degree preferred)

  • 1–2 years of experience in automotive title processing or billing

  • Familiarity with CVR, dealership management systems, and state registration procedures

  • Strong attention to detail and ability to manage multiple tasks

  • Excellent communication and customer service skills

  • Ability to work independently and as part of a team
