Job Summary for Billing Clerk

The Billing Clerk is responsible for the timely and accurate processing of customer invoices while supporting billing accuracy through secondary audits of invoicing activities. This role ensures all revenue recognition requirements, delivery documentation, and customer-specific submission requirements are met prior to invoice processing.

Job Description For Billing Clerk

  • Process customer invoices accurately and in a timely manner.
  • Perform secondary audits of billing transactions completed by other team members.
  • Verify revenue recognition criteria and supporting documentation before invoicing.
  • Review delivery tickets and online billing requirements to ensure all necessary documents are complete and compliant.
  • Resolve invoicing discrepancies with sales teams and operational locations as needed.
  • Ship confirm orders for invoicing once audit requirements are satisfied.
  • Scan and attach required backup documentation for customer online submissions.
  • Prepare and organize documents for imaging and filing in accordance with company procedures.
  • Answer and direct incoming calls to the main office line.
  • Review invoice registers and support invoice distribution processes.
  • Audit and ship confirm offsite delivery tickets for invoicing.
  • Send delivery tickets and statements of account (SOAs) to customers for approval prior to online submission.
  • Create and process credit memos related to customer returns.

Skills Required for Billing Clerk

  • Strong communication skills with the ability to build effective working relationships with internal and external contacts.
  • Proficiency in spreadsheet applications and basic computer systems.
  • Strong organizational skills and attention to detail.
  • Ability to handle confidential information with discretion and professionalism.
  • Experience with billing, invoicing, auditing, or administrative support functions preferred.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
